This position serves as the Administrative Assistant supporting the Illinois Department of Public Health (IDPH).  In this position, you will perform a full range of highly responsible confidential, administrative functions in the overall management of the Office of Information Technology and serves as a liaison with for the CIO’s office. In addition, you will monitor expenditures and resource allocations.

Essential Functions

25%     1.    Under administrative direction, serves as the Administrative Assistant to the Chief Information Officer (CIO) with the Department of Innovation and Technology (DoIT), supporting the Illinois Department of Public Health (IDPH).
•    Coordinates personnel within DoIT/IDPH, tracking annual evaluations and ensuring compliance with training requirements. 
•    Initiates, monitors and tracks vacancies.
•    Manages headcount funding and working with DoIT Human Resources on all hiring. 
•    Reviews existing/new policies and procedures and the impact on agency operations. 
•    Assists in the implementation of department policy, rules and regulations and general managerial practices. 
•    Implements confidential policy statements for the CIO. 
•    Interprets and communicates current department policies and procedures to ensure  staff awareness.
•    Promotes open communications with all divisions in the Office.


25%     2.    Serves as a liaison with IDPH Deputy Directors, Division Chiefs, and DoIT leadership to facilitate the exchange of information and to improve communications among all interested parties. 
•    Maintains effective relationships with members and officers of other departments, outside organizations, boards and commissions, and members of other public jurisdictions, etc.


20%     3.    Monitors expenditures and resource allocations:
•    Coordinates annual PC inventory audit for DoIT/ IDPH.
•    Tracks staffing levels and hiring.<
