Key Responsibilities

  • The Administration Officer is responsible to work efficiently with port officials to provide them with a suitable working area and hand over correct guest paperwork. They prepare, process, and transmit complete and accurate APIS and Landing Order files to CBP and U.S. Coast Guard, handling all other files required for arrival and departure in compliance with MSPM policies and HESS-MS.
  • The Administration Officer also advises onboard and ashore parties on the number of guests and teammates on board at the time of sailing, ensuring a positive report is sent to the Hotel General Manager prior to departure. They also advise on the number and staterooms of international guests that may require translated materials.
  • The Administration Officer ensures data integrity and confidentiality of Personally Identifiable Information (PII) data at all times. They assist the Guest Services Director by accurately and timely preparing and delivering the non-revenue list, detailing Fleet Cabin utilization, and coordinating the disembarkation process. They coordinate with department managers and the Crew Manager to ensure non-revenue guests adhere to Customs and Immigration requirements and promptly coordinate transfers with the Port Agent when necessary.
  • The Administration Officer coordinates travel arrangements of guests who break the voyage unexpectedly, ensuring all meet-and-greet procedures are in place for guests who join in a Wayport. They accurately and timely prepare and distribute all necessary in-transit voyage information to appropriate guests.
  • The Administration Officer consistently meets with the shoreside embarkation team prior to embarkation, providing clear instructions regarding documentation requirements and reference material in compliance with MSPM policies. They coordinate with the shoreside embarkation team to ensure any required documentation is collected and missing guest information is entered into the Navigator check-in app.
  • The Administration Officer is present in the terminal during disembarkation and embarkation to assist ground handlers and check-in supervisors with questions. They always deliver guest service that meets or exceeds expectations for every guest and teammate interaction, providing a positive first impression, nurturing memorable connections and addressing guest concerns immediately.
Asst Purser may be assigned to Night Manager role and work during night shifts, managing overnight Hotel operations to ensure excellent guest service continues at all times. 

Skills, Knowledge & Expertise

  • Graduate of a recognized hotel or business school or 2-year previous experience performing administrative duties such as data input, organizing paper and computer files, multi-tasking, etc
  • Cruise ship experience as an Administration Officer or similar position is strongly preferred.
  • Specific experience and knowledge in all aspects of immigration and clearance requirements within the US and worldwide.
  • Excellent command of the English language, both verbal and written.
  • Knowledge of additional languages is strongly preferred.
  • Fantastic attitude and a natural love and ability for dealing with complex issues in a guest facing environment.
  • Understanding of the foundation of guest service; ability and willingness to deliver outstanding service to our gue
