Job Overview 

Davies Claims North America is looking for an Administrative Assistant who will be responsible for supporting our Excess & Surplus Lines TPA business. Reporting to the Manager of E&S TPA, you will handle inbound and outbound telephonic and electronic communications, process incoming and outgoing mail, enter new claims into the claims system, and assist with other various administrative duties.

 

To be successful in this role, you need to possess a high level of empathy and have superb written and verbal communication skills to communicate effectively with clients. You must have strong time management skills and possess an exceptional capability to multi-task and prioritize with excellent organization and documentation skills in a fast-paced, dynamic work environment. Additionally, you will need to demonstrate high level attention to detail and problem-solving skills and be capable of working collaboratively and independently with minimal supervision. This role is a full-time, onsite position based out of Lakewood Ranch, FL.

 

Responsibilities and Duties

  • Professionally and appropriately respond and/or forward inquiries
  • Efficiently manage customer calls and emails
  • Communicate effectively over the phone while demonstrating excellent verbal communication skills
  • Open, close, and re-open files as requested
  • Prepare and send claim acknowledgement letters and emails
  • Collaborate with claims adjusters and managers to address customer needs ensuring timely communication
  • Notate claim files with notes of conversations such as phone memos or other documentation
  • Upload documents in claim files as required or requested
  • Process incoming emails and mail, scan and deliver to the appropriate party
  • Proofread, print, package, and email or mail letters to customers and/or clients
  • Demonstrate a proactive approach to customer interactions ensuring a positive customer experience

Experience and Qualifications

Required

  • 1-3 years of related work experience 
  • Possess an exceptional capability to multi-task and prioritize while handling high-volume caseloads
  • Demonstrate excellent communication and customer service skills with a high level of empathy
  • Proficiency with Microsoft Office Suite and various other software programs

 

Preferred

  • Associate degree
  • Bilingual (Spanish)
  • Insurance Industry knowledge
