System Director - Materials Management

JOB SUMMARY:
Responsible for establishing and ensuring compliance with policies for Materials Management functions. The Materials Management functions
include, but are not limited to the procurement of material, distribution, inventory control, forms management, sterilization, processing, receiving, and linen services for all Ephraim McDowell entities. Exhibits the F.I.R.S.T. values (Friendliness, Innovation, Respect, Service, and Trust).
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:
- Provides services which foster the Organization’s mission and philosophy through customer service, mutual respect, teamwork, performance improvement, corporate compliance, and coordinates and assures completion of all activities.
- Provides leadership and supervision to the materials management departments at all entities to ensure that quality services are provided by an optimal number of qualified and competent staff.
- Manages the operation of the departments within the fiscal and productivity guidelines of the System.
- Implements processes that assure the most cost-effective procurement of supplies, services and capital equipment for all entities.
- Coordinates the completion of EMH’s capital budget.
- Coordinates the efforts of the value analysis committee to assure the most effective use of new products and services.
- Assumes 24-hour responsibility and accountability for providing leadership and management of the departments which results in quality services/patient care.
- Maintains commitment to professional growth and continuous self-improvement.
- Develops and achieves annual department goals and targets which support the Organization’s goals and mission statement which are developed and approved yearly with the responsible administrative officer/vice president.
- Manages the Material Management cycle from point to order through distribution and utilization of product, to payment of Vendor.
- Assures accurate and timely completion of purchase orders and reconciles accurately and timely with accounts payable.
- Acts as a leader in improving automation throughout all entities to improve efficiency and accuracy of charging.
- Maintains optimal operating inventory levels in the Organization and coordinates timely supply distribution.
- Maintains a high degree of managerial competence through continuing education and/or participation in seminars, conventions, or visits to other institutions or vendors.
- Integrate department’s services with hospital’s primary functions.
- Coordinate and integrate services within department, with other departments and throughout the EMH System.
- Develop and implement policies and procedures that guide and support the provision of services throughout the EMH System
- Recommend sufficient number of qualified and competent persons to provide services in a cost effective manner.
- Determine the qualifications and competence of personnel.
- Continuously assess and improve the each department’s performance.
- Maintain appropriate quality control programs.
- Provide for orientation, inservice training and continuing education of all persons in the departments.
- Recommend space and other resources needed by the departments.
- Participate in selecting outside sources for needed services not provided by the department.

- Performs other related duties as assigned.
WORKING CONDITIONS, HAZARDS, AND PHYSICAL EFFORT:
Subject to many interruptions. Handles emergency or crisis situations. Moderate amount of time spent at the computer terminal. Must be able to move or position 25 lbs. independently.

Contact with all levels of Medical Staff, Associates, Administration, and Vendors.
EQUIPMENT USED/SPECIAL SKILLS REQUIRED:
Business related courses. Computer skills. Excellent written and oral skills.
