The Administrative Assistant follows established procedures and guidelines to provide timely and effective secretarial support to an office, business unit, department, or other organization. Answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. The Administrative Assistant performs varied activities and moderately complex administrative/operational/customer support assignments. Performs computations. Typically works on semi-routine assignments.

  • The Administration Assistant provides administrative support for the VP Resolution Team.  Performs a wide variety of complex administrative tasks requiring initiative, strong attention to detail and extensive working knowledge of the organization and programs. The Administration Assistant transcribes, types, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations). Decisions are regarding the daily priorities for an administrative work group and/or external vendors including coordinating work activities. While also monitoring progress towards schedules/goals, and often oversees work of others and/or is the primary administrative owner of a main process, program, product or technology.  Work entails confidential and sensitive issues requiring a high degree of discretion.  This is a fast-paced role in an environment that is ever changing therefore the Administrative Assistant will need to be comfortable working with ambiguity while maintaining confidence at all times.  In this role you will:
    • Oversees heavy calendar management, requiring interaction with both internal and external executives, other executive assistants and external vendors to coordinate a variety of complex executive meetings.
    • Organize and manage all details related to arranging internal business meetings (locating space, creating agendas, minutes, etc.)
    • Maintain and manage travel schedules (scheduling appointments and making travel arrangements)
    • Perform at a high-intensity pace with a positive attitude
    • Communicates and handle incoming and outgoing electronic communications on behalf of the leader.
    • Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner. Designs and produces varies reports and presentations for multiple department projects and meetings.
    • Oversees and administers department specific programs or long range assignments.
    • Coordinates travel arrangements and prepares expense reports.
    • Produces, formats and edits correspondence and documents.
    • Creates and maintains necessary tracking/coordination spreadsheets.
    • Schedules department events, conference facilities, weekly/month department meetings, and plans and negotiates food and site locations where necessary.
    • Prepares meeting agendas and coordinates meeting minutes.
    • Receives and processes bill payments.
    • Researches, prices and purchases office supplies.
    • Performs special projects as assigned.

Required Qualifications

  • Proficient in Microsoft Outlook, Word, and PowerPoint

  • Ability to manage multiple or competing priorities

  • Strong attention to detail

  • Ability to balance multiple initiatives and prioritize workload

  • This is a hybrid position. You will be required to work in person two to three times a week. Location: 101 E Main Street, Louisville, KY 40202.

Preferred Qualifications

  • Associates or Bachelor's Degree

  • Proficient in Microsoft Excel and Access

  • Previous administrative or related experiences

  • Experience with internet research and proof-reading/editing
