The Correspondence Coordinator oversees the process of all release of information requests sent to the Medical Records Department. Coordinates requests from all departments and physician offices within the network. Maintains computerized release of information system that logs all activities of release. Coordinates release of information procedures with the outside service utilized for all billable requests

JOB DUTIES AND RESPONSIBILITIES:

  • Responsible for and coordinates the entire release of information process for all areas of the SLUHN network

  • Acts as liaison between the Medical Records Department and risk manager when dealing with attorney requests; court orders; subpoenas; litigation and/or other potential risk areas. Acts as records custodian when subpoenaed for court appearances 

  • Coordinates work with the outside service utilized for all billable requests

  • Responsible for the overview of workflow daily including scheduling needs

  • Responsible for maintaining and keeping current the computerized correspondence tracking system by ensuring that all requests are logged in the system

  • Act as the main contact for SLUHN Network release requests and keeps supervisor informed of issues

  • Responsible for adhering to HIPAA regulations regarding release of information

  • Responsible for adhering to the regulations for the release of information as it relates to HIV/AIDS; psychiatric patients; drug and alcohol patients

  • Responsible for ascertaining the validity of authorizations received in the department. Returns invalid authorizations

PHYSICAL AND SENSORY REQUIREMENTS:

Sitting for up to 7 hours per day, 3 hours at a time. May require occasional standing/walking for up to 1 hour per day, 30 minutes at a time. Frequently uses fingers for data entry. Frequent use of hands. Uses upper extremities to occasionally lift and/or carry up to 10 pounds. May require stooping, bending and/or reaching above shoulder level. Hearing as it relates to normal conversation. Seeing as it relates to general vision, near vision, peripheral vision and visual monotony. May look at screen for long periods of time.  

EDUCATION:  

Graduate of an AHIMA approved Accredited Record Technician, RHIT program or a two-year secondary education program preferred. Working experience in confidentiality/release of information areas preferred.  

TRAINING AND EXPERIENCE:

Minimum of 1 year in the field preferred.
