About the role

Job Summary

Under the general direction of the Department Chair, this position coordinates administrative support for the department including, but not limited to, reception, resolving student-related issues, event support, procurement, class scheduling, and general administrative support for the faculty, technical staff, department scheduler, and department chair. It is essential that the incumbent fosters a welcoming and helpful environment for those visiting the department office. This position is critical to student success as it provides procedural knowledge, support, and direction to Cal Poly students in matters pertaining to the department and university.

Administrative support staff within the College of Engineering primarily support their individual home department, while working as part of a broader team of administrative staff and in collaboration with their peers in other departments and the dean’s office. The administrative team shares ideas and innovations with respect to administrative functions, coordinates and implements uniform processes and procedures, and supports each other to ensure the success of the college.

The Department Chair holds a full-time academic year appointed position and serves a three-year renewable term. In collaboration with other department support staff the individual filling this position provides continuity of administrative operations with respect to department, college, and university policies during the chair transition.

Department Summary

This position supports the Computer Science and Software Engineering (CSSE) Department at Cal Poly, San Luis Obispo. The CSSE Department is a major academic unit offering undergraduate and graduate degrees. CSSE strives to provide high quality computing education and excellent career preparation for students.

  • Ability to exercise a positive, friendly, and professional customer service approach at all times on the telephone, electronic communications (email) and in person.
  • Ability to interact, communicate, and maintain confidentiality in an effective manner, as well as establish and maintain professional and cooperative working relationships with a diverse population.
  • Demonstrated ability to independently manage multiple assignments and detailed procedures in a fast-paced environment, adapting fluidly to shifting schedules, competing priorities, and time-sensitive matters with sound professional judgment.
  • Demonstrated knowledge and ability to operate computers and accurately produce a variety of word processing, spreadsheet, and publication software documents.
  • Working knowledge of or the ability to quickly learn all the appropriate Federal, State, College, and Department policies, procedures, regulations and precedents. Ability to interpret, develop, communicate and implement or apply a wide variety of processes and requests with independence under varied and complex circumstances.
  • Ability to identify and solve standard problems and refer more complex problems to appropriate staff.

Education and Experience

  • High School diploma or equivalent. Four years of general office support or technical experience. Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience.

Salary and Benefits

Anticipated Hiring Range: $48,564 - $56,904 Per Year

Classification Range: $48,564 - $70,752 Per Year

The Anticipated Hiring Range referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Classification Range may be broader than what the University anticipates paying for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
