Summary of Job Duties:
The Administrative Specialist II is responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. This position is governed by state and federal laws and agency policy.The Administrative Specialist for Disability & Counseling Services provides reception and administrative support for all counselors within the office and the Associate Dean of Students. The position is expected to respond to inquiries, schedule appointments, and coordinate note-taking and alternate format text services. The Assistant must have strong client service skills and problem solving skills and the ability to respond independently to constant challenges and changes while maintaining discretion and professionalism at all times. In order to provide effective and efficient services, the Administrative Specialist is expected to be flexible, maintain confidentiality and use tact and diplomacy at all times.
General Responsibilities
1. Provides reception and administrative support for Disability & Counseling Services
a. Responds to inquiries made in-person, by telephone or by email and makes appropriate referrals both within and outside the department.
b. Schedules appointments and maintains appointments as needed by counselors and Dean of Student Life and Wellness
c. Provides intake procedures to new students.
d. Maintains student check-in queue and notifies counselors and Dean when students have arrived for appointments.
e. Provides accurate information about Disability Services, Counseling, Student Services and other college and community referrals.
2. Coordinates the note-taking and alternate format text services for Disability Services
a. Receives note-taking and alternate format text preferences for students.
b. Prepares and maintains database with appropriate information.
c. Ensures all forms are maintained, signed appropriately and completed correctly.
d. Coordinates note-takers for DS students in conjunction with counselors.
e. Copies, prints and distributes accommodation letters for students.
3. Maintains Student Access Database for DS students
a. Report on a monthly and end of semester basis for DS students. May include but is not limited to:
i. Students actively enrolled for DS services
ii. Services students are receiving
iii. Type of student disabilities
4. Provides support to Disability Services & Counseling Staff
