About the role

Summary/Objective

Reporting to the Tax Advisors, the Tax Administrative Specialist is responsible for handling a broad range of administrative responsibilities within the tax department.

 

Essential Functions

  1. Direct responsibility for the inflow, outflow, and retention of information to and from our clients and other departments within our firm

  2. Work closely with clients (internal and external) to gather information needed to complete tax returns

  3. Download documents from our secure server and save them within our electronic filing system

  4. Complete special projects as assigned by direct and indirect supervisors

 

Responsibilities and Duties

  1. Check the file management software periodically throughout the day for items added to his/her inbox for documenting, scanning, etc.

  2.    Update/maintain internal database with taxpayer details and tax return statuses

  3.    Internally communicate and coordinate with the other departments in the firm

  4.    Ability to multi-task and effectively perform project execution within assigned deadlines

  5.    Assist in set up of workpapers for tax filings

  6.    Assist in preparation of tax estimated payment vouchers

  7.    May help prepare tax extensions and input individual tax returns

  8.    Able to use sound judgement and problem-solving skills

  9.    Exhibit superior verbal and written communication skills

  10. Exhibit exceptional customer service skills and responsiveness to client requests

  11. Consistently demonstrate professional demeanor and presentation

  12. Demonstrate ability to be flexible and adapt to an ever-changing work environment

  13. Able to appropriately handle confidential and highly sensitive material

Requirements

Education and Experience

  • High School diploma required (Associate's degree preferred)

  • Minimum of 2 years in banking or financial role, tax processing/record experience preferred

  • Strong written and communication skills required

  • Solid computer skills, including ability to work effectively and efficiently within Microsoft office required

  • Adobe Acrobat experience preferred

  • Proven ability to learn processes, procedures and computer software quickly required

 

Travel

No travel is expected for this position.

 

Work Environment

This job operates in a clerical, open-environment, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, printers, filing cabinets, and fax machines. Upon management’s approval, remote work may be allowed using firm-approved office equipment. Correspondence with coworkers may be in person or through virtual means.

 

Physical Demands

This is a largely sedentary role; however, some filing may be required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

 

Position Type and Expected Hours of Work

This is a full-time, non-exempt position. Days and hours of work are Monday through Friday 8:00 a.m. to 5 p.m. although additional hours may be required to complete work timely and accurately. Flexibility in hours is allowed based on management’s approval. The ability to work remotely is allowed based on management’s approval. There are certain tasks that will require an in-office presence.

Compensation

$23.00 - $28.00 per hour USD
