Position Overview

The Deeming Program Manager will assist Acentra staff/subcontractors in the processes for review of all federal grant applications submitted by health centers and free clinics through client software systems to include subcontractor training, standard operating procedures and other related document development drafting and revision in collaboration with the client. Duties will include support work related to subcontractor site visit activities and educational coaching and webinars for client as needed.

Job Responsibilities

    • Collaborate with the Client Team Lead to craft comprehensive Standard Operating Procedures (SOPs) and related documents for health centers and free clinics participating in the deeming cycle.
    • Maintain and develop proficiency in utilizing client software systems to ensure efficient access and usage.
    • Support the client in planning and organizing deeming cycle training for applicant reviewers by creating training materials and educational slides. Additionally, attend, facilitate, and present at annual deeming training sessions as requested.
    • Work closely with Acentra's administrative staff to establish and manage applicant reviewer access to client email and software systems.
    • Supervise and assign grantee application reviews while ensuring adherence to established deadlines. Continuously evaluate reviewer performance and manage staffing levels for optimal outcomes.
    • Assist the Operations Manager in maintaining up-to-date contract agreements with subcontractors involved in application reviews.
    • Participate as needed in direct grant application reviews to contribute expertise and support during peak periods.
    • Maintain regular communication with application reviewers throughout the annual deeming cycle using designated online platforms or email.
    • Engage in continuous improvement initiatives related to the deeming process and site visits, contributing to enhancing overall efficiency.
    • Aid in developing site visit templates, supervise subcontractors during site visits, and provide recommendations for process improvements annually.
    • Contribute to the development and delivery of health center educational webinars and coaching sessions based on identified needs. Must be able to work effeciently and independently with minimal supervision.
    • Assist in organizing and overseeing educational opportunities aligned with the client's program requirements.
    • Demonstrate adaptability by being open to cross-training and performing tasks from other contracts within Acentra Health, ensuring flexibility to meet the diverse needs of clients and customers.

Required Qualifications and Experience

    • An Associates or Bachelor's degree in a health-related field, or equivalent experience in overseeing FQHC (Federally Qualified Health Center) programs involving application management. Relevant experience and training will be considered as a substitution where appropriate.
    • Professional Background 3 years of experience in quality improvement, third-party administration, or federal/state healthcare-related contracting organizations. Prior involvement in project management is advantageous.
    • Desirable background in reviewing, analyzing, and interpreting data.
    • Demonstrated ability in fostering strong relationships and effective teamwork.
    • Proven experience in effectively managing diverse workloads and priorities.
    • Highly skilled in critical thinking, multitasking, problem-solving, and risk assessment.
    • Strong organizational abilities and acute attention to detail.
    • Proficient in Microsoft Word, Excel, PowerPoint, SharePoint, video conferencing technology, and other software programs within a Windows environment.
    • Reliable access to secure, high-speed internet service capable of efficiently managing necessary upload and download speeds for work requirements within the continental United States.
    • Excellent verbal and written communication skills.
