A Brief Overview
Performs complex administrative and clerical duties to ensure the continual functioning of the department. Is responsible to work with imaging managers, staff, providers, and external vendors to ensure high quality patient care by ensuring daily organizational needs of the Medical Imaging Department are met on a daily basis. May act as a liaison to the general public and medical staff. Provides defined clerical support to the system director, managers and staff.
Education Qualifications
- High School Diploma / GED Required
- Bachelor's Degree Preferred
Experience Qualifications
- 3 years Clerical or administrative support experience. Required

- Strong verbal and written communication skills. (Required proficiency)

- Knowledge and proficiency with Microsoft Word, Excel and PowerPoint programs. (Required proficiency)

What you will do
- Schedule appointments/meetings, maintains department calendars. Make arrangements for and coordinate conferences and meetings to include recording/distribution of minutes.
- Assists/oversees with payroll process and serves as an interface with human resources.
- Assists leadership with completing their administrative tasks as necessary.
- Maintains department operations including but not limited to managing inventory for multiple cost centers, purchase orders/supplies, record keeping, mail sorting, scanning, filing, and other department specific tasks which ensures the continual functioning of the area.
- Manages periodic quality and safety monitoring by coordinating with Infection Prevention and Control, and contracted vendors to ensure the cleanliness of facility.
- Building responsibilities including coordinating repairs and assisting with planning, designing, and completing facility improvements.
- Assist in budget monitoring under the direction of leadership. Assist leadership in budgetary preparation and tracking duties.
- Coordinates interviews to include scheduling and communication with participants.
- Assists the management team and collaborates with Human Resources in the process of updating, creating, and changing job descriptions.
- Assumes the responsibility and management of various key Medical Imaging Department projects without oversight by the Director.
- Maintains pro-active communication with medical staff, clinical staff, and personnel in all areas of the Medical Imaging Department. Drafts and sends department communications and correspondence. Composes agendas, notices, minutes and resolution for meetings.
- Assist with the development of marketing materials.
- Develops, evaluates, interprets and modifies department policies and procedures to include being the primary resource for Document Central.
- Creates, tracks and manages physician schedule and on call schedule assignments and makes provides aware of scheduling concerns.
- Greet applicants, team members, and guests, notifying personnel of arrivals. Knowledgeably directs guests to team member that can assist them. Receives incoming calls, responds independently, answering questions, providing information or directing to appropriate team member. Functions as a resource for department team members.
- Participates in any committees as a Medical Imaging Representative as needed within Stormont Vail Health.
