Position Overview

 

This is a skilled position requiring the employee to perform a variety of office support functions. Shift hours will be approximately 8am-5pm, Monday through Friday.

 

Key Responsibilities (Essential Duties and Functions)

 

  • Typing, filing, data entry, copying, preparing, shipping and distributing courier packages, composition and editing correspondence.
  • Answer inquiries about the company.
  • Greet visitors warmly and make sure they are comfortable.
  • Route calls to specific people.
  • Take and relay messages
  • Ensure lobby and breakroom are clean and presentable, ensuring the spaces are inviting and professional.
  • Keep both the breakroom and lobby well stocked with essentials. 
  • Operate office equipment including but not limited to, telephone system, computers, copiers, fax machines, printers, etc.
  • Coordinate mail flow in and out of office.
  • Prepare outgoing mailings and shipments.
  • Schedule room requests and ensure calendar is updated.
  • Knowledge of Microsoft Office products (Word, Excel, Teams, etc.)
  • Minimum typing speed of 45 words per minute.
  • Knowledge of basic office practices and protocol.
  • Keep Blue Stakes updated and in compliance.
  • Enter outside material purchases into Viewpoint for intercompany projects
  • Other Duties as assigned by supervisor.

Education and/or Experience

  • High school diploma or general education degree (GED) required; and two years related experience and/or training; or equivalent combination of education and experience.
  • Recruiting experience preferred 

 

Language Skills

  • Ability to read and comprehend instructions, correspondence, and memos.  Ability to write clearly and effectively.   

 

Mathematical Skills

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

 

Reasoning Ability

  • Ability to apply common sense understanding to carry out detailed, but uninvolved written or oral instruction.
  • Ability to work well with others in a group or one on one setting.

 

Computer Skills

  • To perform this job successfully, an individual should have (or be able to quickly gain) knowledge of Internet software, Excel, Word, Outlook, and other company related programs.

 

Certificates, Licenses, Registrations

  • Valid Driver’s License

 

Other Skills and Abilities

  • Ability to speak Spanish is a plus.
