Job Description:
The Coordinator also acts as a backup for the Program Manager and assists with regulation development, orientation/training of staff, and general office operations. Timely and efficient execution of duties is crucial to ensure the smooth operation of the licensing process and adherence to statutory and regulatory requirements.
Key responsibilities of the Health Licensing Coordinator:
- Handling complex licensure applications requiring review by the board
- Facilitating communication with licensees, applicants, facility owners, and the general public regarding licensing and permit requirements.
- Monitoring licensure and renewal activities, taking appropriate actions according to established procedures and timelines.
- Drafting letters and notices related to initial licensure, reinstatement, and disciplinary action.
- Conducting continuing education audits and approving/denying continuing education programs.
- Assisting with the regulation development process, including ongoing review and drafting of amendments.
- Participating in the orientation and training of Administrative Technicians.
Requirements / Qualifications:
Minimum Qualifications: Experience in paralegal work, file review and management, or regulatory tracking functions. Experience in organizing and planning meeting functions by applicable statutes and regulations.
Preferred Qualifications:
Within the last 2-3 years-
- The ability to review applications/documents by statutes/regulations/guidelines.
- Computer experience including proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Access or other similar software.
- Experience providing customer service related to application status and required documentation through both phone calls and in-person interactions.
- One year of experience reviewing and analyzing technical information to determine compliance with Federal or State rules and regulations and/or eligibility for licensure, services, or benefits.
- Must have the ability to lift boxes of files or equipment for offsite meeting preparation.
Knowledge, Skills, and Abilities:
- Strong time management, problem-solving, and communication skills are essential for this position.
- Effective communication skills - can accurately explain state statutes and regulations and application requirements to both internal and external customers.
- Ability to read legal documents and understand statutes and regulations.
- Ability to seek direction as needed.
- Experience managing electronic and manual records/files.
- Experience with confidential documents and HIPAA compliance.
