JOB SUMMARY
UT Southwestern has an opening for the position of Sr. Administrative Assistant II in Burn/Trauma/Acute/Critical Care Surgery.

This position will provide essential administrative support to multiple faculty members within the division of Burn Trauma Acute Critical Care Surgery.  Responsibilities will include managing calendars, organizing meetings, ensuring compliance with departmental and institutional procedures and approvals, coordinating travel logistics, maintaining spreadsheets for travel budgets, overseeing licensure and recredentialing processes, processing financial transactions, and managing supply orders.

Ideal candidates should possess self-initiative, resourcefulness, and adeptness in collaborative settings. The desired candidate will demonstrate strong written and verbal communication, proven customer service abilities, adept time management and prioritization skills, consistent follow-through, and excellent work ethic.

Experience and Education 

  • High school graduation or GED and four (4) years related work experience required
  • May consider higher education completed in lieu of minimum requirements.

  • Multi-tasker in fast-paced environment

  Job Duties 

May perform some or all the following:

  • Provides administrative support for multiple faculty within the BTACCS division
  • Schedules and organizes activities such as meetings, conferences, and division events : prepare agendas, presentations, take minutes and arrange catering, as needed.
  • Organize and coordinate travel logistics
  • Coordinates expense reimbursement and expense tracking
  • Communication: Draft and prepare official documents, memos, emails, presentations, and reports.
  • Determines work priorities and monitors progress toward work deadlines
  • Maintain Faculty Curriculum Vitae, licensures and recredentialing
  • Supply ordering and management
  • Coordinate communication between various departments/centers.
  • May assist with overflow work from administrative peers as needed
  • Maintaining clinical call schedules
  • Other duties as assigned
