We are looking for a highly skilled and proactive Senior HR Ops Specialist to join our team. In this role, you will take ownership of structuring and optimizing HR administrative processes, ensuring seamless operations across multiple legal entities, and building efficient workflows. This is a key position for someone who thrives on creating order out of complexity and is passionate about delivering excellence in HR administration

Responsibilities:

• HR legal compliance and entity setup
Oversee the setup and support of legal entities, ensuring full compliance with local labor laws, tax, and employment regulationsAct as the main HR point of contact for legal compliance topics, ensuring company policies and practices align with jurisdiction-specific requirementsIdentify and manage relationships with external legal and HR service providers across various countries to ensure local compliance and effective collaboration
• Documentation and records management
Maintain accurate, organized, and up-to-date employee documentation, including contracts, amendments, and legal recordsEnsure all documentation complies with local legal standards and internal data protection policiesManage digital HR databases and HRIS systems, maintaining data accuracy, security, and integrity
• Compliance audits and reporting
Prepare and support internal and external audits, ensuring readiness and alignment with compliance requirementsTrack and report on HR compliance metrics and documentation status, highlighting any potential risks or inconsistencies
• HR operations coordination
Lead administrative support for HR processes related to hiring, off boarding, and changes in employment status, ensuring timely and legally compliant executionContinuously improve HR operations with a focus on legal accuracy, process clarity, and operational efficiency

Requirements:

• Proven experience in HR operations, with a strong focus on legal compliance and documentation
• Solid understanding of labor laws, especially in cross-border contexts, and experience managing legal entity setup
• Familiarity with managing external vendors for HR/legal services
• Experience with HRIS systems and digital documentation tools
• High attention to detail and accuracy in handling legal and contractual documentation
• Strong organizational and problem-solving skills, with the ability to manage complex workflows and deadlines
• Fluent in English and Russian; knowledge of labor law in multiple jurisdictions is a strong advantage
• Specific knowledge of Estonian and Lithuanian labor law is a significant plus
