About the role

The Human Resources Specialist, Student Employment position within the Human Resources Department, is responsible for coordinating and administering the University's Student Employment Program, including Federal Work-Study and institutional student employment initiatives. The position serves as the primary point of contact for students, supervisors, and university departments regarding student employment policies, procedures, and processes. This Role supports student hiring, onboarding, compliance monitoring, reporting, and overall program administration while ensuring high levels of customer service, operational effectiveness, and regulatory compliance.

This position collaborates closely with campus partners to support student success and employment opportunities while maintaining the integrity of university employment practices. The Student Employment Coordinator also supervises 3-4 Federal Work-Study students assigned to the Human Resources Department.

Student Employment Administration & Operations

Coordinates student employment operations and hiring activities by:

  • Serving as a primary point of contact for students, faculty, and staff regarding Student Employment and Federal Work-Study processes, policies, and procedures.
  • Managing Student Employment business processes within Workday, including requisitions, hiring, transfers, position changes, and separations.
  • Reviewing student employment applications and supporting hiring managers throughout the recruitment and selection process.
  • Coordinating student onboarding activities and ensuring all required employment documentation is completed accurately and timely.
  • Maintaining student employment records and ensuring the integrity of program data and documentation.
  • Monitoring ticketing systems and responding to inquiries within established service standards.
  • Assisting students and supervisors with employment-related questions and issues while providing exceptional customer service.
  • Maintaining professional relationships that support program effectiveness and service excellence.
  • Promoting a welcoming, inclusive, and student-centered environment.

Compliance & Program Monitoring

Supports compliance and program administration by:

  • Monitoring student eligibility requirements and ensuring compliance with institutional, state, and federal regulations.
  • Coordinating I-9 verification, employment authorization verification, and E-Verify activities in accordance with applicable regulations.
  • Monitoring student work hours and assisting departments in maintaining compliance with university and Federal Work-Study guidelines.
  • Conducting periodic audits of student employment records, processes, and transactions to ensure accuracy and compliance.
  • Identifying compliance concerns and escalating issues to the Director as appropriate.
  • Assisting in the development and implementation of program procedures that support compliance and operational effectiveness.

Reporting, Assessment & Data Management

Supports Student Employment assessment and reporting efforts by:

  • Maintaining Student Employment databases, reports, and tracking systems.
  • Preparing routine reports related to hiring activity, participation, utilization, and program performance.
  • Assisting with data collection and analysis to support program assessment and strategic decision-making.
  • Monitoring program metrics and identifying trends requiring attention or follow-up.
  • Supporting annual reporting and audit activities.

Program Support & Communications

Supports Student Employment initiatives and stakeholder engagement by:

  • Assisting with Student Employment communications, website updates, presentations, and informational materials.
  • Supporting student employment events, information sessions, supervisor meetings, and outreach activities.
  • Collaborating with university departments to promote awareness of Student Employment opportunities and procedures.
  • Assisting with supervisor training logistics and resource development.

This position supports a high-volume, compliance-driven student employment function and routinely handles confidential student and employment-related information. Work volume may increase during peak hiring periods, semester transitions, and audit/reporting cycles.

Requirements/Qualifications:

  • Requires 2–5 years of experience in Human Resources. Relevant student-facing experience may substitute for direct Human Resources experience.
  • Bachelor's degree required.
  • Ability to analyze student employment records, eligibility requirements, hiring transactions, and compliance-related information.
