Job Summary
The Talent Acquisition Specialist is responsible for supporting talent acquisition efforts through proactive candidate sourcing, pipeline development, and recruiting coordination activities. This role focuses on front-end sourcing, candidate engagement, and administrative support, partnering closely with recruiters and hiring managers to ensure an efficient and consistent hiring process.
Responsibilities
Talent Sourcing and Pipeline Development
• Proactively source candidates through LinkedIn, job boards, professional associations (e.g., ACDIS, AHIMA), social media, and networking channels
• Build and maintain candidate pipelines for high-priority and hard-to-fill roles
• Conduct basic market research to support sourcing strategies and identify target talent pools
• Execute defined sourcing strategies to attract active and passive candidates
Candidate Engagement and Screening
• Conduct initial outreach to prospective candidates and assess basic qualifications and interest
• Support pre-screening activities and route qualified candidates to recruiters
• Maintain ongoing communication with candidates to support engagement and pipeline activity
Recruiting Coordination and Administrative Support
• Assist with interview scheduling and coordination across candidates, recruiters, and hiring managers
• Support job posting activities and ensure postings are accurate and up to date
• Maintain accurate and organized candidate records within the applicant tracking system
• Track candidate activity and ensure timely follow-up throughout the hiring process
Operational Excellence
• Support adherence to recruiting workflows, processes, and service level expectations
• Monitor basic sourcing and recruiting activity metrics and escalate concerns as needed
• Ensure consistency, accuracy, and timeliness in all recruiting-related activities
Partnership and Collaboration
• Partner with recruiters to understand role requirements and align sourcing efforts
• Collaborate with internal stakeholders to support a positive candidate experience
• Assist with employer branding efforts through social media and outreach support
Other Duties as Assigned
• Perform additional responsibilities as needed to support recruiting operations and organizational goals
Qualifications
Education and Credentials
• High School Diploma required
Experience
• Minimum of 1 year of recruiting coordination, sourcing, or administrative support experience, preferably in Health Information Management (HIM) and/or Clinical Documentation Integrity (CDI)
• Experience using LinkedIn, job boards, or other sourcing tools preferred
• Familiarity with applicant tracking systems and scheduling tools
• Experience supporting high-volume or fast-paced administrative workflows

• Effective written and verbal communication skills, particularly in candidate interactions
• Proficient in Microsoft Office (Word, Excel, PowerPoint) and applicant tracking systems
• Ability to manage multiple tasks and priorities in a remote work environment

• Basic analytical skills with the ability to track and interpret activity metrics
• Collaborative mindset and ability to support multiple stakeholders
