General Responsibilities:
Administrative Assistance: Provide comprehensive administrative support to the Engineering Department, including calendar management, document processing, responding to inquiries, and maintaining departmental records.
Vendor Processing: Oversee the vendor onboarding process by accepting applications, collecting Certificates of Insurance (COIs), and ensuring all necessary documentation is completed for construction, inspections, and project close-outs.
Inspection Scheduling & Coordination: Manage and update inspection calendars. Schedule inspections and coordinate with the Director and Engineering team to ensure timely execution.
Record Keeping: Maintain organized and up-to-date records of inspections, contracts, and related documents. This includes data entry and use of specialized software or databases as required.
Customer Service: Serve as a point of contact for inquiries from guests, contractors, and other stakeholders, ensuring timely and professional responses.
Reporting: Prepare and distribute reports related to contracts, inspections, financial transactions, and other departmental activities as needed.
Inspection-Related Responsibilities:
Support Field Activities: While the primary focus remains administrative, the role may include assisting with field-related duties, such as routine room or property inspections and data collection in collaboration with Engineers.
Inspection Coordination: Provide behind-the-scenes support to quality control inspectors by managing inspection schedules, organizing documentation, and ensuring compliance with quality and regulatory standards.
