About the role

Client Accounts Specialists for Homeowners Association (HOA) clients manage the financial lifecycle of legal accounts within a specialized practice, ensuring that homeowners' legal fees, and collections are accurately processed.

Primary Duties and Responsibilities

• Execute complex billing, including split-party billing, and verify accuracy of legal fees, costs, and expenses against attorney time entries.

• Monitor outstanding receivables and aging reports, following up on delinquent receivables through correspondence or calls.

• Serve as the primary contact for HOA attorneys and paralegals.

• Process write-offs, apply retainer funds, and handle adjustments authorized by firm management.

• Generate various financial reports for HOA attorneys and paralegals.

Requirements & Qualifications

• Education: A Bachelor's degree in Accounting, Finance, or a related field is preferred.

• Experience: 2–3 years of experience in legal billing and/or high-volume collections, within a real estate or HOA law environment preferred.

• Software Skills: Proficiency in legal billing software such as Elite 3E, Aderant preferred. Strong Excel skills.

• Core Skills: Strong attention to detail for reviewing time entries, professional demeanor for conflict resolution, and knowledge of LEDES file formats for electronic billing.
