Position Overview
This position will be responsible for front desk support as well as assisting executive level positions and office administrative duties.
Key Responsibilities (Essential Duties and Functions)
- Answer, screen, and route outside calls.
- Provides a high level of customer service while welcoming and directing visitors. Monitor guest sign in/sign out.
- Prepare and distribute incoming and outgoing mail and packages: including coordinating pickup and shipping labels.
- Provides administrative support to the OpCo Leadership. Organizes and maintains correspondence and projects, following up on pending matters with limited direction.
- Management of leadership travel to domestic and/or international locations. Arranging travel and hotel accommodations, as necessary.
- Organizing and coordinating office operations/organization, events, company picnic/employee events & luncheons.
- Overseeing and managing the provisioning of office supplies, equipment and services that enable the staff to perform their jobs efficiently and effectively.
- Process material purchase transactions for multiple vendors.
- Monitor expiring Certificates of Insurance and request updated insurance.
- Review and send approved invoices for payment.
- Scan and index documents in record retention database.
- Assist with miscellaneous data entry, administrative office task and assist accounting department as needed.
- Performs other duties as assigned.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Education/Experience
- High School diploma or general education degree (GED) required.
- Associates degree (A. A.) or equivalent from two-year college or technical school preferred; or one to three years related experience and/or training; or equivalent combination of education and experience.
Work Requirements
- Must be 18 years in age or older.
- Must pass pre-employment physical, drug screen and criminal background check.
- Report to the office dressed appropriately and ready to begin work at the designated start time.
- Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
- Willingness to work independently within in a team environment and assist the team with other duties as required.
- Valid driver’s license required.
Knowledge/Skill Requirements
- Must be proficient in Word, Excel, and Outlook. Must be able to utilize the internet and email effectively.
- Ability to read, comprehend, and write simple instructions, short correspondence, and memos.
- Ability to perform basic mathematical skills such as addition, subtraction, and multiplication.
- Ability to apply common sense understanding to carry out written or oral instructions.
- Ability to work independently without constant supervision.
