The Program Assistant, Physician Relations serves as an integral member of the Medical Staff Services team, providing professional level program support for physician onboarding, engagement, retention, wellness, and communication efforts. Under administrative direction, the Program Assistant works in collaboration with the Program Director, Medical Staff Services leadership, Medical Staff leadership, the Chief Medical Office, and internal partners to coordinate activities, maintain program information, support issue resolution, and help ensure physicians and APPs have the tools and information needed to successfully navigate their roles within the organization.
Duties & Responsibilities:
- Coordinate and facilitate monthly New Physician Orientation sessions, including scheduling, materials, attendance tracking, presenter coordination, and follow-up communication.
- Support physician onboarding and offboarding activities by coordinating required steps with participating areas, tracking completion, identifying gaps or delays, and escalating opportunities for improvement to the Program Director and appropriate leaders.
- Coordinate and support New Physician Leader Orientation for newly elected Medical Staff Officers and Delegates, and others as identified
- Conduct and/or support physician rounding on newly appointed and established physicians, including 30/60/90-day touchpoints, applicant rounding, and other engagement outreach as assigned.
- Maintain a database of physician encounters, needs, issues, follow-up actions, and resolutions; summarize activity for key stakeholders and support process improvement initiatives.
- Serve as a professional liaison between Medical Staff Members, APPs, Medical Staff Services, Medical Staff leadership, Chief Medical Office leadership, departments, and other UI Health partners to support communication, engagement, and timely issue resolution.
- Develop and maintain collaborative working relationships with Clinical Chiefs of Service, Department Administrative Officers, Credentialing Liaisons, departments, and Health College partners to increase communication between the Health Colleges and Medical Staff.
- Support physician wellness activities in collaboration with the Program Director, Medical Staff Wellness Committee, Chief Medical Office, and University Health Services.
- Assist with Medical Staff engagement, retention, and recognition activities, including event planning, physician recognition efforts, communication campaigns, and related program logistics.
- Provide support for the annual Physician Engagement Survey, including communication, tracking, data organization, summaries, and follow-up activities as assigned.
