Job Description
As an Administrative Assistant, you’ll play a pivotal role in the expansion and streamlining of a dynamic executive coaching business. This position goes beyond traditional admin work – you’ll be instrumental in developing and implementing systems that drive business growth. From managing client relationships to creating efficient operational processes, you’ll have a direct impact on the success of high-level coaching engagements and leadership programs. This role offers a blend of structure and creativity, allowing you to apply your organizational skills while contributing innovative ideas to enhance business operations in the exciting field of professional development.
Responsibilities
- Manage invoicing and maintain positive client relationships through timely follow-ups
- Streamline client onboarding processes to ensure a seamless experience
- Optimize the executive coach’s calendar, balancing coaching sessions, corporate training, and business development activities
- Conduct targeted research to support coaching programs and business growth initiatives
- Design and maintain efficient digital filing systems for easy information retrieval
- Develop comprehensive Standard Operating Procedures (SOPs) to ensure consistency and quality in service delivery
- Collaborate on creating scalable systems that support business expansion and enhance client satisfaction
Requirements
- 2-3 years of proven experience in administrative support roles, ideally in a professional services or coaching environment
- Advanced proficiency in Microsoft Office suite, with emphasis on Outlook and Excel
- Quick learner with the ability to adapt to new online platforms and business tools
- Exceptional organizational skills with a talent for creating order out of complexity
- Meticulous attention to detail and commitment to maintaining accurate, up-to-date records
- Professional-grade written and verbal communication skills in English
- Experience in the coaching, consulting, or professional development industry is a significant advantage
- Ability to work independently and proactively in a remote setting
- Available to work fixed hours from 9 AM to 1 PM Hong Kong time, Monday to Friday
- Enthusiasm for contributing to the growth of a business in the leadership development space
