Job Summary

The Manager, Pharmacy & Oncology Applications oversees a team of Pharmacy and Oncology Analysts that are responsible for the maintenance and support of the non-Epic Pharmacy and Radiation Oncology applications as well as Epic Willow Ambulatory and Beacon applications used in the acute, retail, specialty pharmacies, and cancer centers across the organization.  The manager supports the integration of Pharmacy and Oncology applications across facilities and partner sites including but not limited to, hospitals, physician practices, Occupational Health and Employee health offices and Nursing homes. Under the direction of the Director of Clinical Applications, this position supervises and develops analysts; develops and manages system upgrades and enhancements; and manages the enterprise budget. Responsible for the coordination, planning, implementation, support and maintenance of Pharmacy and Oncology applications, budgeting, staffing, communications, creation of project scope, vendor management, application incident management, application change management, business continuity, application portfolio management, system maintenance and upgrade management.

Key Responsibilities

  • Has direct staff management responsibilities such as hires, counsels, terminates, and performs appraisals of staff.

  • Builds, maintains, and optimizes relationships with the business leaders that will foster value for the alignment of strategy, while empowering the business leaders to attain their clinical and business goals.

  • Engaged member of the IT Applications leadership team to build and prioritize roadmaps for enterprise solutions, upgrades, as well as budget forecasts and accountability. The roadmaps will reflect systems thinking aligned with enterprise level direction and strategy.

  • Budget forecasting and accountability.

  • Coordinates and partners with application vendors, outside consultants and internal resources as needed.

  • Participates in development of department level goals and objectives; revises as appropriate.

  • Identifies, analyzes, and responds to risks over the course of a project, both minimizing the consequences of adverse events and maximizing the results of positive events.

  • Works with other I&T staff to assure maximum uptime of applications, including managing patches, communicating scheduled downtime to stakeholder, coordinating application vendor system management, coordinating support of third-party products that affect system access, etc.

  • Will effectively manage resources to meet required timelines and budgets of enterprise projects and local system projects dependent on enterprise resources.

Skills and Experience

  • Required Minimum Education: Bachelor’s degree in business, technology, management information systems, or operations or equivalent experience.

  • Preferred Education: Consider a Master’s degree or other as needed for role

  • Certified in Epic Willow Ambulatory and/or Epic Beacon is desired.

  • Extensive Experience of application and software support required.

  • Knowledge of and experience with healthcare clinical and administrative operations are required.

  • Demonstrated knowledge and experience in project management and/or implementation of pharmacy & oncology applications is required.

  • Conducts ongoing vendor invoice review, screening and routing invoices for correctness and distribution to the appropriate authorizing authority.

Minimum Years of Experience

  • Minimum of 5 years of increasing responsibility in management with staff management and budgetary accountability.

Other Knowledge, Skills and Abilities Required

  • Analytical abilities are required.

  • Proven experience in maintaining project schedules, documentation, communications, and meeting deadlines.

  • Demonstrated interpersonal skills to communicate tactfully, effectively and will discretion within all levels of management.

  • Ability to utilize Microsoft Office Suite, e-mail, Project Management tools, PC’s, printer, facsimile, and other office machines as needed.
