Job Description
Freshworks is seeking a well-seasoned Workplace Experience Lead to support our San Mateo headquarters. This role is all about elevating the workplace experience by bringing energy and creativity to the office while serving as a friendly go-to for employees and visitors. The Workplace Experience Lead is key to keeping our offices running smoothly while creating a standout experience for our employees.
The ideal candidate is organized and detail-oriented with a natural ability to make people feel welcomed and supported in the office. You thrive in a fast-paced environment, excel at multitasking, and execute administrative and facilities tasks with accuracy and efficiency. In this role, you will help cultivate a healthy, inclusive, and engaging workplace for Freshworks employees. This role reports directly to the Senior Manager of Workplace Management and is based on-site, requiring five days per week in the office.
What You’ll Do:
Workplace Experience & Culture
- Own the front desk experience by greeting visitors and team members with warmth, professionalism, and care.
- Own the pulse of the office by planning monthly curated experiences and company-sponsored events.
- Continuously innovate the workplace experience by gathering feedback and launching fresh ideas.
- Partner with HR to ensure every new hire feels welcomed and supported on their first day.
- Coordinate SWAG programs and branded moments employees actually get excited about.
Workplace Strategy & Relationship Management
- Build strong partnerships with internal teams, vendors, and property management.
- Serve as a trusted go-to for employee needs, questions, and office support.
- Partner with internal teams and external vendors
- Play a hands-on role in space planning and office expansion projects to support our growing footprint
- Own the office budget across meals, snacks, events, and vendors.
- Manage the PO process and vendor onboarding from start to finish.
Workplace Operations
- Proactively resolve day-to-day office issues and track trends to drive ongoing improvements and enhance the workplace experience
- Support a comfortable and well-maintained workplace by managing janitorial and maintenance work orders as needed
- Manage office & kitchen inventory to keep things running smoothly.
- Work alongside workplace technology (room booking, AV, visitor systems, ticketing tools).
- Help maintain a safe and secure environment by following building safety procedures and alerting the appropriate contacts whenever necessary
- Keep team documentation and shared drives clean and organized.
Qualifications
What you’ll need:
- A bachelor’s degree with a minimum of four years experience supporting office operations and employee engagement in a high-energy, fast-paced workplace.
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent interpersonal, communication, and customer service skills, with a flexible and positive attitude.
- Strong technical proficiency, including advanced knowledge of Google Workspace, Slack, Microsoft Office, Netsuite (or similar procurement platform).
- Hands-on mindset with a willingness to take on tasks of all sizes.
- First Aid/CPR training is a plus!
