Job Summary:
The Housekeeping Office Assistant is responsible for ensuring the smooth operations of the Housekeeping Department. The Office Assistant must maintain the accuracy of the Property Management System (PMS) by ensuring housekeepers and inspectors are updating room statuses as required. The assistant must check-in with inspectors regularly to ensure the department is on track to complete rooms
by guest check-in time. The Office Assistant takes calls from the Front Desk, Engineering and guests of the hotel and must adjust operations and/or dispatch staff accordingly. The Office Assistant regularly interacts with guests of the hotel and must provide exemplary service in accordance with Vail Resorts/Grand Teton Lodge Company Brand Standards.

The Housekeeping Office Assistant responsibilities at Jackson Lake Lodge include, but are not limited to:
- Responsible for maintaining the accuracy of the Property Management System (PMS), Visual One, by ensuring housekeepers and inspectors are updating room statuses as required.
- Check in with housekeeping inspectors on a regular cadence to ensure department is on track to complete rooms by guest check-in time.
- Assist housekeeping leadership with directing the daily work of all positions to ensure maximum efficiency of department.
- Take calls from Front Desk, Engineering, and guests of the hotel, updating PMS and/or dispatching personnel as required.
- Regularly interacts with guests of the hotel and is expected to provide exemplary service in accordance with Vail Resorts/Grand Teton Lodge Company Brand Standards.
- Track maintenance issues by entering work orders and following up with Engineering Department to ensure rooms are in service by guest check-in time.
- Assist housekeeping leadership with administrative responsibilities such as, payroll, scheduling and product inventory.
- Maintain cleanliness and organization of housekeeping office and main supply closet.
- Manage the hotel’s lost and found system, Chargerback, including entering found items and matching with lost reports, communicating return of items to guests, and shipping items to be returned.
- Support department in completing rooms by guest check-in time which may require performing Houseperson, Housekeeping Inspector, or Housekeeper job duties.

The Housekeeping Office Assistant position asks that any candidate be able to demonstrate the following skills or experience:
- Previous experience in a housekeeping department – Preferred
- Previous hotel/hospitality experience – Preferred
- Fluent in speaking, reading and writing English – Required
- Basic Spanish speaking – Required
- Fluent in speaking, reading and writing Spanish – Preferred
