Job Overview

Main Duties & Responsibilities

• Manage, coordinate and process intake of new IP portfolios.
• Create new customer accounts.
• Identify and resolve data discrepancies by adhering to established guidelines.
• Prepare data discrepancies reports and resolve data discrepancies in agreement with customer’s approval.
• Prepare docketing reports as part of business-take on or as per ad hoc requests.
• Close collaboration with Servicing Team to ensure data onboarding for new customers adheres to project timeline.
• Process incoming updates related to established IP portfolios in a timely manner.
• Ensure data consistency by performing routine data cleansing activities.
• Daily handling of customer communications and requests.
• Participate in customer calls if needed.
• Ensure the highest level of care when working with customer data.
• Liaise with customers and colleagues in a professional manner.
• If required, train team members and provide assistance as needed to ensure work is completed timely and accurately.
• Responsible for any other duties and occasional project assigned.
• Ensure compliance with policies and procedures and take immediate action by reporting to your supervisor where risk is identified.

Key Deliverables

• Timely delivery of all communications and projects to customers and internal team members.
• Manage high volumes of data intake for multiple customer accounts.
• Responsible for data quality within patent portfolios.
• Understanding of task-tracking and urgency.
• Ability to master internal operating system and platforms.

Experience & Skills

• A minimum of four (4) years within the IP industry required, subject matter expert on data integrity or similar activities maintaining data quality throughout the patent lifecycle.
• Strong understanding of patent law and procedures, with focus on IP renewal regulations.
• Strong knowledge of patent data bases and search platforms.
• Expertise in data analysis, attention to detail and ability to identify patterns and errors in complex data sets.
• Exceptional problem-solving skills.
• Strong verbal and written communication as well as interpersonal skills.
• Strong project management skills desired with proficiency in time management, planning and organising.
• Attention to detail and analytical thinker.
• Capable of working both with and without supervision, individually and as part of a team.
