**THIS IS A TEMPORARY POSITION FROM JULY- SEPTEMBER**

THURSDAY - MONDAY 9AM-5:30PM

POSITION OVERVIEW:

The Closeout Specialist is a specialized Customer Service Representative responsible for coordinating the intake of customer information, supporting real-time communication with field technicians, and ensuring proper execution and closure of service work orders across all divisions (HVAC, Plumbing, Environmental). This role plays a critical part in maintaining service quality by reviewing, validating, and finalizing job documentation. This position ensures that all completed work is compliant with scope, accurately recorded, and ready for billing—serving as a key checkpoint in the work order lifecycle and supporting the company’s operational integrity.

RESPONSIBILITIES:

Review ad verify completion of all service tickets for accuracy and thoroughness

Ensure technician notes, material usage, time entries, and job photos are properly documented

Identify missing or inconsistent information and coordinate with field technicians, dispatchers, or CSRs to resolve discrepancies

Confirm arrival and departure times through GPS tracking when applicable

Validate scope of work completion against job requirements

Organize and prepare final closeout packages using standard document tools (e.g., PDF editors, Word documents)

Support the billing team by submitting clean, compliant work orders for invoicing

Maintain records of closeout completions and escalate aged or unresolved tickets

Participate in team meetings, provide status updates, and contribute to process improvement discussions

Answer phone calls for customer service requests; provide customers with the appropriate timing for when the technician will arrive onsite

Reference client service history for new work orders created to ensure proper authorization, credit limits/payment information/COD status, and identify any possible discrepancies

Provide hourly rates, pricing holds, and take payment information when applicable

Route calls to the appropriate departments/individuals

MINIMUM QUALIFICATIONS:

Education/Experience:

Minimum 2 years of experience in a service, dispatch, or administrative support role

Preferred Qualifications

High school diploma or equivalent (Associate’s or technical degree preferred)

Experience in HVAC, plumbing, construction, or related mechanical services industry strongly preferred

Comfortable working in a fast-paced environment with shifting priorities

Prior experience with service management software and GPS platforms is a plus

Proficiency in Microsoft Word, Excel, & Outlook

Strong attention to detail and ability to identify inconsistencies or incomplete documentation

Proficient in reviewing digital files, editing PDFs, and preparing formatted job documents

Ability to work independently with minimal oversight and manage time effectively

Familiarity with field service operations, job costing, and service ticket structure preferred

Strong communication skills and ability to interact with both office staff and field technicians
