Duties and Responsibilities

The Digital Heritage IT Assistant will support in all aspects of outsourced website and application services, with a particular focus on contract compliance, performance monitoring, and technical planning for future development. Additionally, the IT Assistant will act as the focal point for providing technical support to the in-house digital heritage team. This includes managing the maintenance, enhancement, and ongoing support of digital heritage platforms, tools, and databases. The IT Assistant will be responsible for troubleshooting technical issues, advising on new technologies, ensuring smooth integration of outsourced services with internal systems, and ensuring the long-term viability and effectiveness of digital heritage platforms.

Support  IT contract management:

  • Conduct a comprehensive review and maintain a clear understanding of all existing contracts with service providers.
  • Monitor and document compliance with contractual obligations, including service level agreements, technical specifications, deliverables, and reporting requirements, in line with UNDP’s contract management procedures.
  • Identify performance issues, risks, or areas for improvement, and provide recommendations for corrective actions.
  • Support the drafting, negotiation, and amendment of contracts or agreements, ensuring consistency with UNDP policies and guidelines.
  • Ensure that all contracts are strategically aligned with UNDP’s operational requirements, programmatic goals, and anticipated future needs.

Support performance monitoring of  outsourced service  providers 

  • Monitoring service provider performance across all contracted areas (e.g., uptime, response times, incident handling, patch management, content updates).
  • Reviewing all reports provided by service providers and testing of all patches or/and futures developed by the service providers.
  • Identifying and addressing any performance issues or discrepancies.
  • Verifying that service providers are fulfilling their contractual obligations related to the websites.

Support technical planning and future development: 

  • Developing and maintaining a roadmap for future website development and expansion, aligned with UNDP Cyprus’ strategic goals.
  • Researching and recommending new technologies and solutions to enhance the websites' functionality, features, and user experience.
  • Working with service providers to implement new features and functionalities.
  • Planning for scalability and future growth of the websites. Developing task lists for such development and service provisions. 
  • Budgeting and resource allocation for future website development projects.

Support communication and stakeholder management: 

  • Acting as the primary point of contact between UNDP Cyprus and the service providers.
  • Communicating effectively with internal stakeholders about website performance, security, and future plans.
  • Managing expectations and ensuring alignment between all parties.
