YOUR ROLE
The Integrated Communications team serves as a trusted advisor to our business leaders and associates, working together to provide helpful information and tools to Genworth associates, distributors and policyholders, as well as the media.
We are looking for an Administrative Specialist to both provide administrative support to the VP, Head of Communications and VP, Total Rewards, as well as play an integral role in the effective and efficient delivery of information to our various stakeholder groups. Beyond more traditional administrative work, this role will be the hub of content distribution for the Integrated Communications team, managing posting schedules for social media, the intranet, and digital signage. Strong candidates will bring exceptional communication skills, a customer-centric orientation, strong technical aptitude, proven attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Note: This role will report to the VP, Head of Communications.
What you will be doing
- Coordinate communications schedules across social media, intranet, events, and email
- Post/distribute provided content across social media, intranet, and email
- Own the logistics planning for associate meetings and events, in partnership with members of the Integrated Communications and Benefits teams
- Maintain calendars of two senior leaders
- Manage expense reports for two senior leaders in compliance with organizational policies
- Set-up and manage Purchase Requisitions & POs, pay subscriptions/memberships (e.g., professional dues) and other administrative process-related items
- Arrange travel for two senior leaders including airfare, hotel, expense reimbursement, etc.
- Schedule and manage logistics for team meetings, offsite events, and other activities
- Exhibit superior customer service by responding to requests promptly and comprehensively
- Organize and maintain communications departmental records and documentation
- Collaborate with other administrative assistants to effectively manage calendars and provide back-up, when needed
- Other duties as assigned
What you bring
- 3+ years of experience as a senior administrative assistant
- Ability to effectively process a large amount of information daily with the capability to spot important topics and make connections between disparate items
- Exceptional time management, organizational and prioritization skills with an emphasis on follow-through and attention to detail
- Strong technical aptitude to learn and advance skills across a range of digital platforms
- Exceptional communication skills, confidence and professional presence
- Experience using SharePoint, Outlook, Teams, and other Microsoft 365 apps
- Ability to ensure security of confidential information
- Proactive, proven good judgment and creative problem-solving skills
- Strong written communication and proof-reading skills
- Experience with basic graphic design such as Canva preferred
