The Project Coordinator is responsible for coordinating activities associated with a specific project(s) including scheduling, coordination of communication, data management, document preparation, and process improvement. Works in collaboration with the Manager and other project staff to help to implement the project’s objectives in support of identified goals and the continuous improvement process. Responsible for ensuring effective communication among stakeholders and project staff. Manages scheduling of project activities and assists in maintaining data on the project’s effectiveness. Coordinates interdepartmental activities ensuring ongoing effective project operation and/or implementation. Responsible for the organization, prioritization and coordination of a moderate to high volume of complex work in support of the project. Coordinates the process of executing initiatives essential for the success of the project. This level performs work under direct supervision with little independent judgment required.
• Coordinate event scheduling, pre-event communication with clients, room assignment, catering, audio visual accommodations, physical room setup and clean up, tracking reservations and waitlist.
• Oversee reservation process and manage execution of events including welcoming guests, communicating with staff and clients, problem-solving, and organizing vendors. Provide setup and technical support for audio visual systems including but not limited to display devices, projectors, and video teleconferencing (VTC).
• Coordinate site operations in accordance with all agreed policies and procedures. Provide support with building operations and maintenance, equipment and furniture maintenance, and vendor oversight. Create, manage and respond to all work orders in a timely manner, ensuring excellent customer service.
• Coordinate with internal and external vendors for services that include but are not limited to janitorial services, mail and courier services, office supplies, shredding, electrical issues, safety/security issues, building repairs, landscape maintenance and other duties as assigned.
• Ideal candidate would be a highly organized, detail-oriented, enthusiastic team player, with outstanding communication and problem-solving skills. Proficiency in a range of information technology tools and platforms. Previous experience in event coordination, facilities/property management, hospitality, or related field preferred.
Required Education and Experience
High school diploma or equivalent experience.
Minimum of two (2) years college coursework in Business, Project Management, Human Services or related field.
Minimum of three (3) years progressively responsible experience in administration/customer service, with one (1) year project coordination experience.
Demonstrated experience in drafting, editing and creating written communications and/or reports.
Experience taking meeting minutes.

Preferred:
- Bachelor’s Degree in Facilities Management
- At least three (3) years experience in project coordination.
-Proficiency in a range of information technology tools and platforms. Previous experience in facilities/property management, hospitality, or related field preferred.
Compensation Range
$25.85 - $38.78 per hourSalary Information
This compensation range was calculated based on full-time employment (2080 hours worked per calendar year). Offers are determined by multiple factors including equity, skills, experience, and expertise, and may vary within the range provided.
