Description

Job Summary:

The Bilingual Human Resources & Payroll Administrative Assistant provides essential administrative support to the HR department with a focus on employee relations, recordkeeping, payroll coordination, and communication in both English and Spanish. This position ensures accuracy and clarity across all HR and payroll processes while helping to foster an inclusive, responsive workplace.

Key Responsibilities:

Human Resources Support:

  • Assist in recruitment efforts, including job postings, candidate communication, and interview scheduling.

  • Conducts new hire orientations and assist with onboarding paperwork.

  • Maintain accurate employee records and ensure compliance with HR policies and regulations.

  • Translate HR documents, forms, and announcements to support multilingual staff.

  • Track employee training, certifications, evaluations, and leave balances.

  • Support benefits administration and enrollment processes.

  • Respond to employee questions or concerns in their preferred language with professionalism and confidentiality.

  • Support employee offboarding including termination letters, final checklists, and exit interviews.

Payroll Administration:

  • Prepare, process, and audit payroll data, ensuring accuracy in hours, rates, deductions, and benefits.

  • Communicate with employees about payroll concerns in English and [Spanish].

  • Track and report PTO, sick leave, and attendance records.

  • Maintain payroll records and assist with audits and reconciliations.

  • Collaborate with finance or accounting teams on payroll-related reports.

Administrative Duties:

  • Manage sensitive employee information with discretion and confidentiality.

  • Assist in organizing training, staff meetings, and employee appreciation events.

  • Ensure all HR documents, policies, and communications are available in both English and [Spanish].

  • Maintain HR filing systems—both digital and physical—for compliance and organization.

  • Support special projects or initiatives led by the HR or leadership team

Qualifications

 Will Demonstrate the following Skills/Qualifications:

  • Experience with HRIS preferred.
  • Ability to work independently with minimal supervision.
  • High degree of initiative, follow-through, and organizational skills.
  • Experience recruiting and onboarding new employees.
  • Experience in HR policies/procedures, recruiting, employee benefits, and labor laws required.
  • High level proficiency working with MS Office Suite (Excel, Power Point, Outlook)
  • Excellent customer-service delivery with a high degree of professionalism.
  • Ability to communicate effectively across all personnel levels both virtually and in-person.
  • Ability to collaborate effectively with a solution driven approach across all levels internal and external to the organization.
  • Excellent organizational and time management skills.
  • Excellent interpersonal, verbal and written, communication skills.
  • Thorough attention to detail.
  • Strong decision-making and problem-solving skills.
