The Opportunity
The Medical Programs Coordinator organizes internal and external business-related functions for medical education programs, ensuring they stay within the budget. This individual collaborates with external vendors to investigate, coordinate, and arrange contracts for major hotel accommodations and services. They also arrange travel accommodations, manage communications and facilities support, and oversee program functions to support physician education programs. Additionally, the role involves directing multiple service contractors and subcontractors to orchestrate large-scale events.
What You'll Work On
Managing MD contracts and Site Agreements
Organizing internal and external business-related functions for medical education programs.
Collaborating with external vendors for hotel accommodations and services.
Arranging travel accommodations and managing communications and facilities support.
Overseeing program functions to support physician education programs.
Directing multiple service contractors and subcontractors for large-scale events.
Organizing and facilitating program planning meetings.
Managing all aspects of registration for courses.
Attending events to ensure smooth execution.
Communicating logistics with customers and coordinating with management and sales representatives.
Providing direction to third-party vendors.
MSAs, SOWs, POs, Ariba, XIAM, ACRs, reconciliation
Secondary support for MABs
Evaluating program effectiveness and archiving documents.
Preparing status reports.
Qualifications:
Bachelor's degree plus 2-5 years of related work experience with a good understanding of specified functional area, or an equivalent combination of education and work experience.
Prior Life Sciences experience will be preferred, with proven experience in meetings coordination and planning. Must have strong skills in MS Office, specifically PowerPoint and Excel.
Knowledge of regulations and policies preferred.
Working knowledge and application of business concepts, procedures and practices. Will perform this job in a quality system environment. Failure to adequately perform tasks can result in noncompliance with governmental regulations.
Works on problems of moderate scope where analysis of situations or data requires a review of identifiable factors.
Exercises judgment within defined procedures and practices to determine appropriate action.
Has a general knowledge of technical alternatives and an understanding of their impact on the systems environment.
Strong organizational and follow-up skills, as well as attention to detail
