The Administrative Clerk is responsible for processing payroll and supplier invoices, customer invoicing and collections. The position is also responsible for purchasing raw materials, non-inventory items and services for the Valparaiso site and maintaining all purchase orders.
Essential Job Duties and Responsibilities
- Process hourly union biweekly payroll along with recording and tracking paid time off, maintaining payroll system and files and performing employment verifications.
- Enter invoices for site into appropriate system, aligning to packing slips and purchase orders.
- Maintain vendor master file; act as liasion to all vendor inquiries and review vendor statements and perofrm weekly check run as needed.
- Interact with all aspects of plant operations to determine appropriate levels of purchasing to ensure the needs of the plant are met. Purchase and schedule raw materials, non-inventory items and services.
- Maintain purchase order files and product files.
- Analyze and compare suppliers for best price, value, and availability.
- Process customer invoicing and commercial water invoicing. Maintain customer master and pricing files.
- Create temporary labor and AP accruals. Perform Accounts Receivable collections as needed.
- Check mail, sort and distribute.
- Other duties as assigned.
Requirements
- Associate’s degree or equivalent experience in book keeping and/or accounting with knowledge of Payroll, Accounts Payable, Accounts Receivable, and Invoicing.
- 5 years’ experience, preferably in a manufacturing environment.
- Must have effective written and verbal communication skills and the ability to build and maintain positive relations with internal and external contacts.
- Analytical and math skills are highly important to position; able to meet deadlines effectively and have the ability to assess issues and escalate to management as appropriate.
- Strong organizational skills and the ability to prioritize and handle multiple tasks are needed.
