Job Summary:
1. Chair Operations Assistant (80%):
- General Support: Provide administrative support to the Department Chair, including managing schedules, coordinating meetings, screening and prioritizing email communications and correspondence, ensuring prompt and appropriate responses
- Document Management: Organize and maintain files, records, and documentation to ensure easy accessibility and retrieval.
- Organizes and attends high level meetings as needed to take notes and always maintain confidentiality.
- Correspondence: Draft and proofread business correspondence, reports, and presentations to maintain a professional and polished image.
- Track and Manage funds flow for the $25 million dollar funds flow, ensuring that funds are received timely from UCHA.
- Ensuring speedtypes are set up and utilized correctly per the new Chairs Letter of Offer
- Acts as a subject matter expert for Department travel and purchasing policies on behalf of the Chair to maintain compliance.
- Acts as subject matter expert in the promotions and tenure process for the faculty
- Coordinate Travel: for Chair related instances.
2. Department Operations Specialist (20%):
- Acts as an expert in leading and coordinating complex projects
- Updates department communication service with new and departing faculty and staff.
- Maintain and organize office files, records, and documentation for the department administration.
- Creates purchase orders, requisitions, payment vouchers, assists with vendor setup requests in CU Marketplace.
- Budget maintenance and follow-up of financial transactions related to procurement and program expenses for the department chair.
- Prioritize and schedule complex internal and external meetings and events, including venue and menu selection as required.
- Where necessary, process official function forms and alcohol approval forms
- Managing event budgets
Work Location:
Hybrid – this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.
