This position is an onsite opportunity in the Abbott Diabetes Care Division. We are helping people with Diabetes lead healthier, happier lives. As an Administrative Assistant II, you will be responsible for provide administrative support to managers as assigned. This is an onsite opportunity in Alameda, CA.
What You'll Do
- Oversee the daily operations of the reception area to ensure smooth functioning.
- Train reception staff, providing guidance and support as needed.
- Greet clients and visitors, managing incoming calls, and addressing inquiries.
- Answer and direct phone calls to appropriate personnel using a computer-based switchboard.
- Provide temporary day badges as appropriate.
- Schedule appointments, maintaining records, and handling correspondence.
- Facilitate communication between departments and ensuring messages are relayed accurately.
- Oversee Facilities’ work order management from beginning to end.
- Manage incoming and outgoing mail and packages.
- Provide administrative support to various departments as needed.
- Address any issues that arise at the front desk and ensuring disruptions are promptly resolved.
- Ensure a welcoming environment and enhancing customer satisfaction.
- Manage multiple tasks and prioritizing effectively to maintain efficiency.
Experience You'll Bring
Required:
- High School Diploma and/or an equivalent combination of education and work experience, some college preferred
- Minimum 3 years Previous admin experience.
- Operates with general instruction and some supervision.
- Intermediate to advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or Outlook.
