The Haslam College of Business (HCB) at the University of Tennessee, Knoxville, invites applications for an Enrollment & IT Specialist (Full-time, Non-exempt) on the Data Analysis, Research, and Technology (DART) team within Graduate & Executive Education. Reporting to the Director of Digital Marketing & Technology, this role includes supporting all operational and administrative aspects of registration and enrollment functions within the Graduate and Executive Education (GEE) DART team.
For non-degree participants, the employee will manage the registration process, handle invoicing, coordinate payment processes with internal teams and customers, issue completion certificates, and run enrollment reports. Additionally, they will assist with other non-degree program-related tasks as assigned.
On the degree side, this role will play a critical part in managing admissions processes, including but not limited to: 1st review, processing transcripts, running student and alumni reports, and ensuring data accuracy across systems. The employee will also handle other responsibilities related to the enrollment and admissions of students in GEE's graduate degree programs.
This position will also support the DART team in basic IT related tasks with relation to staff, faculty, students and room support. This position is essential to the daily operations and successful delivery of GEE's Executive Education degree and non-degree courses.
- Non-Degree Enrollment Operations:
- Assist in course creation, including setting up internal order numbers and financial dimensions in AX, CRM, and DASH.
- Manage registration for non-degree participants, including generating participant and landing fee invoices, and communicating payment options and fees owed.
- Generate invoices for custom program clients.
- Provide program teams with rosters and payment information.
- Coordinate course and roster updates with the program team.
- Ensure accounting compliance in all billing and invoicing procedures.
- Confirm accurate data integration across systems.
- Administer and oversee all non-degree data to ensure accuracy across associated systems.
- Issue certificates and credentials for non-degree participants.
- Assist in managing, administering, and maintaining systems and processes relevant to non-degree operations.
- Train other staff members on non-degree processes as needed.
- Degree Operations:
- Process transcripts and other application materials submitted to the Haslam Admissions team.
- Retrieve transcripts from the Banner system for UTK students to support application reviews.
- Conduct initial reviews of applications and perform related tasks to ensure completeness and accuracy.
- Collaborate with recruiting and admissions teams to ensure effective communication throughout the admissions process.
- Coordinate with campus partners to streamline admissions and improve the student experience.
- Ensure accurate marking of students and alumni across systems, regularly updating alumni data to maintain accuracy.
- Ensure full compliance with FERPA regulations in all admissions-related processes.
- Train other staff members on degree processes as needed.
- Technology Support: Facilities & Personnel
- Identify, research, and resolve technical problems for all end-user equipment to include but not limited to laptops, desktops, desk phones, printers, camcorders, AV equipment and scanner devices
- Respond quickly to telephone calls, email, and personnel requests for technical support providing impeccable customer service
- Provide routine monitoring, testing, and analysis of all related IT system elements and maintain all IT equipment in a functional and ready to deploy state.
- Assist faculty, staff and students with their IT needs and help trouble shoot any technical issues.
- Provide classroom and team room infrastructure technology support to faculty and staff.
- Assist faculty and staff on their needs regarding special projects and use of software programs such as: Office, Zoom, Canvas, etc.
- Provide guidance to faculty and staff on the best technical solution for their project requirements.
