POSITION SPECIFICS

Title: Patient Support Specialist 

FTE: 1.0 FTE (40 hours per week)  

Schedule: Monday-Friday with hours between 7:30am-5:00pm

Holiday Rotation: None

Weekend Rotation: None

On Call Requirements: None

POSITION SUMMARY

This position performs a variety of daily duties, usually involving multi-tasking, to support assigned physician.  The individual in this position is responsible for managing the physician’s schedule and working with patients through each step of their experience. This includes scheduling, information gathering, order entering, patient education and other administrative tasks.

POSITION TECHNICAL RESPONSIBILITIES

  • Manage assigned physician schedule which may include some or all of the following: clinic appointments, procedures, surgeries.
  • Schedule procedures, surgeries, tests, referrals, and other appointments for patients.  Provides patient education regarding same.
  • Manages some or all of the following: Labs, H&P, additional appropriate documentation for upcoming surgeries/procedures.
  • Ensure all supporting records and reports are compiled and accessible in EHR prior to surgery.
  • Provide requested information to surgeons and providers as needed.
  • Request and manage medical records as needed to complete surgery scheduling and prior authorizations.
  • Function as liaison between assigned physician/surgeon and external departments within SPHC and/or other healthcare organizations such as:  surgery, radiology, acute care, pharmacy, ER, therapy, assisted living centers, nursing homes, clinics, etc.
  • Respond to all patient phone calls and walk in visitors.
  • Improve own and/or department performance by practicing quality improvement principles in daily work, focusing on process and system improvements, and increasing customer satisfaction.
  • Attend mandatory hospital and department meetings.
  • May serve on committees or work groups as requested or assigned.
  • Provide coverage for other staff members as required. 
  • May assist in training new hires.
  • Order all DME for patients to use to aid in their post-op recovery. (ROMTECH, CPM’s, etc.)
  • Enter electronic orders once surgery is scheduled.
  • Assist in completing paperwork such as worker’s compensation forms, insurance forms or legal forms for patients.
  • Send imaging orders as well as any supporting documentation to the pre-encounter team to process all other non-emergent prior authorizations.
  • Assist with clinic flow (pull charts, escort patients as required, etc.)
  • Respond to requests for medical records ensuring appropriate release information is provided.
  • May perform coding functions when scheduling surgeries.

Experience:

  • Required: None
  • Preferred:  1-2 years’ experience in a medical office setting; Medical terminology and computer knowledge necessary
