POSITION DESCRIPTION:

This position is in our General Services Support Services department.

 

DUTIES AND RESPONSIBILITIES:

Direct and oversees inventory control of all Information Technology (IT) personal tangible property statewide, Assists IT representatives/inventory agents with problems and recommends solutions. Approves the request to issue inventory control tags to field staff. Trains and ensure that all representatives/inventory agents are properly trained. This training will include the proper management procedures for Florida Planning, Accounting, and Ledger Management (PALM) and RedBeam updates. Distribute property reports to IT representatives, Chief Information Officer (CIO), Bureau Chief and Deputy Bureau Chief of General Services as needed. Receives, reviews and processes paperwork for surplus, transfers, relocations and missing or stolen IT property statewide.    

Provides inventory sheets and inventory assignments to Property Custodians and Inventory agents. Assists Property Custodians and Agents with problems and recommend solutions. Ensures a full IT inventory is completed by June 30th of each fiscal year. Ensures property reconciliation is performed, and records are properly updated. Researches all missing property and provides reports to Leadership, CIO and General Services Bureau Chief of all missing or stolen property. Assists in any investigations regarding missing property. Employee may be required to travel up to 25% of the time to conduct onsite inventories with Property Custodians and Inventory Agents.   

Analyzes statewide data gathered and is responsible for developing solutions and alternative methods to support IT staff statewide. Manages location codes, IT custodian and IT Inventory Agent listing statewide.  Coordinates with the Bureau of Finance and Accounting (F&A) for necessary reports out of PALM. Responsible for working with F&A to coordinate and produce year-end financial statements for IT Property. 

Develops, revises and maintains policies, regulations, manuals, and standards regarding the IT functional areas of property administration. Assist’s supervisor with reviews and revisions of all other policies and procedures for the department regarding property. 

Reviews programs, services, forms and reports and confers with management and users to identify problems and improvements. Performs on-site reviews of operational problems when requested by region or Headquarters when problems become evident in their areas; evaluates the causes of the problems and recommends solutions. 

Updates PALM and RedBeam information on all electronic IT assets. Works with the General Services Support Services sections to ensure all IT assets are properly insured.     

Performs other related duties as assigned.
