Job Description:

We are seeking a Commercial Escrow Assistant with experience with Commercial Unit Support to include terminology, communication methods, and client expectations. You will be responsible for providing support to Escrow Officer(s) and team(s) (Commercial and Residential) by completing key responsibilities and requirements of the role.

Key Responsibilities on a regular basis:

  • Provides production and processing support to escrow team(s) on refinance and sale transactions including opening orders, clearing liens, ordering demands, distributing commitments/preliminary reports, and ordering surveys as applicable.
  • With mentorship and support beginning to evolve their proactive problem-solving skills.
  • Communicates and confirms information about a transaction with principals, agents, lenders and/or other parties.
  • Verifies and reviews all information in the preliminary report/title commitment while clearing title requirements by researching discrepancies, obtaining lien releases, and clearing any other encumbrances.
  • Task to Central Processing Unit, Title and team members (as available and applicable).
  • Is evolving skills to prepare required documents and/or instructions and prepare closing statements and disclosures. (i.e., settlement statements, tax reporting, etc.) detailing the accounting of the transaction in accordance with all state and federal regulatory requirements. Is evolving skills determine we have met all escrow/title conditions required by principals, lenders, agents and/or counsel on behalf of principals and lenders as represented by the parties, as directed by unit lead.
  • Schedule appointments, assemble documents for signing for both in office signings and out of office signings including coordination of mobile notary services.
  • Is evolving skills to conduct signings of documents with customers.
  • Prepare funding packages, provide conditions, receipt in lender funds.
  • Is evolving skills to assemble and submit completed Policy Write Up instruction to the Title Department. This includes reviewing all documents to be recorded for accuracy and completeness.
  • Process and disburse refinance and sale transactions with supervision as defined by management.
  • Correctly calculates the Company’s fees, charges, and title premium(s) pursuant to the applicable rate rules and guidelines regarding filed or posted rates applicable to the county and state on basic commercial transactions. Entry level of competency to use and interpret these resources to independently calculate fees, charges, and premiums on transactions beyond the automated and/or provided fee calculator tools and resources.
  • Upload all documents in appropriate category in the electronic filing system.
  • Attends industry or real estate functions representing the Company as directed/approved by management.
  • Provides training and support to peers (transfer of industry knowledge and skills), guiding them to reach maximum efficiency and production.

  • Strong attention to detail with excellent organizational skills, with ability to prioritize and handle multiple tasks and projects.
  • Ability to accept supervision and direction, as well as constructive feedback.
  • Ability to collaborate and interact effectively and professionally with all levels of management, employees and customers by email, phone, video conferences and in person.
  • Continues escrow education through company training webinars/ seminars/ meetings.
  • Must have a basic understanding of accounting principles (debits and credits).
  • Entry level knowledge of title insurance policies, and endorsements
  • Basic to Intermediate knowledge of escrow, closing documents and terminology.
  • Notary commission preferred.
