Occupational Summary
Create and submit purchase orders for supplies and services for the Carolinas Cord Blood Bank (CCBB) in the Marcus Center for Cellular Cures (MC3) and for other programs in MC3. Set up standing purchase orders and service agreements as needed. Troubleshoot problems with orders until goods are received.
Work Performed
Create and submit purchase requisitions for supplies for the Carolinas Cord Blood Bank (CCBB) in the Marcus Center for Cellular Cures (MC3), and for other programs in MC3. Follow up until completion of purchase order (PO) and delivery of product. Track status of orders in the Duke system and follow-up with Duke Procurement until POs are issued. Troubleshoot problems with vendors regarding backlogs. Regularly follow up on orders to estimate delivery dates and help anticipate inventory issues so that alternative plans may be developed.
Set up standing Purchase Orders for the CCBB as needed. Coordinate and follow-up with vendors to have all necessary paperwork in place to generate the standing purchase order. Track status of process in Duke Systems until standing purchase order is put in place. Ensure the applicable standing PO number is used by vendor in their invoices
Process orders for service agreements. Interact with vendor to set up all the required paper work in the Duke system, including setting up the vendor in the Duke system and generating the applicable Research Service Agreement. Set up the service agreements and track expiration dates for timely renewal without service disruption.
Work with MC3 Finance Team as needed to troubleshoot problems with account payables, following up with vendors and Duke Procurement for problem resolution.
Cover for other Financial Management Analysts in the team during periods of vacation or scheduled time off.
Other duties as deemed appropriate by MC3 Leadership.

Minimum Qualifications
Education
Work generally requiresa Bachelor's degree in Accounting, Economics or a related business field.
Experience
No experience required for candidates who possess a Bachelor's degree in a field of study related to the specific position.
