Medical Visualization Project Coordinator

Main Objective:

To support the Medical Visualization (MV) Sr. Project Specialist and MV teams (Animation, Illustration, AR/VR) in gathering resources and information to implement in upcoming projects. Primary duties include facilitating communication between stakeholders and creatives, organizing and leading meetings, and ensuring all project deadlines are met.

 

Essential Duties and Responsibilities:

• Serves as the main point of administrative support for the illustration team.
• Acts as additional support for the animation team under the guidance of the MV Sr. Project Specialist.
• Evaluates all project requests via the MV service desk to confirm that each submission meets the requirements.
• Reviews projects to ensure key resources and information are provided (STP files, storyboard, due dates, requester identification, etc.)
• Follows up for missing project information when appropriate.
• Identifies and documents project dependencies.
• Works closely with the MV Sr. Project Specialist and MV leadership to assess project health, identify roadblocks, and align the MV teams.
• Partners with the Project Management Office (PMO) to support client needs, manage expectations, and facilitate communication between MV teams and stakeholders.
• Provides project management software technical expertise (Jira, Confluence, MRM, etc.) and supports the MV teams.
• Facilitates project “kick-off” meetings.
• Documents team processes and updates.
• Manages and distributes performance surveys.
• Collects, stores, and processes data to keep leadership and informed and facilitate decision-making.
• Assists with the development and creation of the MV monthly newsletter.

Machine, Tools, and/or Equipment Skills:

• PC platform.
• Proficient in Microsoft Word, Excel, and PowerPoint.
• Familiarity with MRM and DAM systems is preferred.
• Knowledge of Jira, Confluence, and Agile methodologies is preferred.
• Adobe Photoshop, InDesign, Microsoft Outlook, and Microsoft SharePoint skills desired (MS Suite).

Education and Experience:

• Associate's degree in business or marketing communications.
• Bachelor's degree in business or marketing is a plus.
• 3 years experience in the surgical or medical device field is a plus.
• 3 years experience in digital illustration/animation process is a plus.

 

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret technical instructions in mathematical or diagram form and deal with abstract and concrete variables.
