Description

Salary is Non-Negotiable. The successful candidate will be hired at the minimum salary.

 

The employee in this position is responsible for administrative work supporting the daily operations of the Procurement Division of the Administrative Office of the Courts. The essential function of this position within the organization is the accountability of capital items circuit wide.  The employee in this position is responsible for identifying capital items, maintaining current and accurate records on transactions, and modifying any capital item. In addition, the position is responsible for handling the Procurement cycle of commodities and services assigned to the division.

Work requires the exercise of initiative, independent judgment and discretion when completing administrative and clerical assignments.

The employee in this position will adhere to Procurement guidelines and procedures established by the State of Florida and Miami Dade County.  Work is performed under the general direction of the Purchasing Manager through periodic meetings, reports, and conferences. 

This position is eligible for a hybrid remote work/onsite schedule after a 90-day period, as outlined by existing Circuit policies and procedures.

 

Responsibilities

  • Responsible for the annual state and county inventory of capital items.
  • Responsible for reviewing purchase requisitions for goods and services to ensure allowance of items requested; checks pricing and prepares and processes purchase orders; schedules delivery date and communicates with requesting division and/or entity regarding order status; and maintains communication with vendors.
  • Tracks and maintains purchase orders; and assists end users/customers with orders to ensure required goods/services are delivered timely.
  • Comply with state and county procedures and guidelines.
  • Maintains inventory records for certain commodities.
  • Assists in organizing stockrooms.
  • Assists with scanning data entry into Share Point page, and Procurement Platform.
  • Distributes office supplies.
  • Performs clerical functions, such as preparing correspondence, maintaining incoming and outgoing mail, performing data entry, setting up and maintaining spreadsheets and record/file systems, processing accounts, and answering telephones calls.
  • Assists with the coordination of special projects or events and serves as a liaison for the area of responsibility.
  • Assists with travel related matters.
  • Provides excellent customer service.
  • Performs related work as required.

Qualifications

  • Bachelor's degree in business administration, purchasing, bookkeeping, accounting or related field.
  • One (1) year of experience in inventory control, accounting, capital asset inventory, or related experience.

Knowledge, Skills and Abilities (KSAs):

  • Knowledge of state and county regulations for capital equipment accountability. 
  • Knowledge of current data processing requirements for property transactions and controls. 
  • Knowledge of and ability to use correct English grammar, spelling, and punctuation.
  • Knowledge of modern principles and best practices of procurement procedures.
  • Knowledge of research techniques, the sources and availability of current information as it pertains to Procurement.
  • Ability to review and assists court employees with confirming office equipment.
  • Ability to follow reporting procedures to record office items. 
  • Ability to travel throughout court locations to thoroughly and efficiently conduct inventories of court property.
  • Ability to learn the state and county guidelines and procedures related to Procurement practices.
  • Ability to organize work, establish priorities, and meet deadlines.
