JOB DESCRIPTION SUMMARY
This position serves as the primary contact point for all matters pertaining to the CNA (Certified Nurse Aide/Assistant), EMR/EMT (Emergency Medical Responder/Technician), and Medication Aide courses. Responsibilities include intaking and managing academic documents (course outlines, syllabi, handbooks), student applications, compliance related documents (health and related requirements), background checks, drug screening/testing, and student testing. Serves as liaison with MCC’s Secondary Partnerships and partner high schools on related matters. The Specialist position supports the daily operations of the faculty and adjunct offices. Serves as the point of contact for guests to the academic offices.ESSENTIAL POSITION FUNCTIONS:
• Serves as main point of contact for all CNA, EMR, EMT, and Medication Aide course applicants. Responsible for clarifying admissions requirements, intake, processing, and evaluating CNA, EMR, EMT applications and supplemental requirements; as well as student registration and managing course cohorts. Provides constant communication and file updates with students, CNA & EMSP program directors, Enrollment Specialist, and Director of Student Experiences.
• Manages online application dashboard (Recruit/Workday), for all CNA and EMR/EMT applicants.
• Provides quarterly CNA and EMR/EMT applicant information to Director of Student Experiences for compliance needs. This includes lists for all Secondary Partnerships High Schools and Career Academy CNA and EMR/T students.
• Assist CNA and EMSP faculty with student communication/mailings, compliance needs and orientations.
• Creation of various documents including but not limited to letters, packets, forms, and certificates.
• Data entry including but not limited to course, faculty, and student information in various documents and systems. Manages data consistent with FERPA, HIPAA, IT, and College guidelines.
• Assists in creating, managing, and updating academic documents (handbooks, outlines, course syllabi).
• Create, organize, and update various student files consistent with institutional practices for records management and sustainability (i.e. electronic/PDF> hard copies).
• Supports the daily operations of the faculty and adjunct offices.
• Serves as the point of contact for guests with sensitive situations, using excellent interpersonal skills and adhering to the FERPA/HIPAA guidelines.
• Provides directions and information assisting students, faculty, staff and general public by answering telephones, routing calls and taking messages as appropriate
• Maintains a clean and orderly office environment.
• Purchases office supplies for the faculty offices.
• Assists the Dean’s office in reconciliation of monthly P-Card purchases.
• Serves as technical resource and provides assistance to faculty, adjunct instructors and staff with computer software, hardware, troubleshoots office equipment, e.g., copier, fax, test scanner and telephone system, and scans computer images.
• Provides direction for work-study students .when assigned.
• Consistently and dependably attends work, activities, and functions as scheduled or assigned
KNOWLEDGE, SKILLS AND ABILITIES:
• Knowledge of college policies and procedures.
• Knowledge of College-supported software and computer systems.
• Advanced skill in operating a personal computer with Microsoft Office software to include Word, Excel, and PowerPoint.
• Knowledge of compliance (i.e. DHHS background check, drug screening/testing, etc.) and related requirements
• Knowledge of standard office equipment to include copiers, printers, fax machines, etc.
• Skill with simple repairs for office equipment, e.g., copier, fax, etc.
• Ability to type 50+ wpm.
• Skill in demonstrating cooperative and professional attitude.
• Skill in resolving problems and answering questions, and listening skills.
• Ability to maintain confidentiality.
• Ability to pay close attention to detail.
• Ability to write and maintain accurate records.
