SUMMARY:
The Secretary will report to the Director of Pharmacy Services and perform a full range of secretarial, clerical and data entry responsibilities; to include
Maintain Outlook calendar, meeting coordination, and appointment schedule(s); Screen incoming calls and correspondence and respond independently when possible
Prepare and maintain monthly PowerPoint Presentations, meeting agendas and minutes.
Maintain and prepare payroll and scheduling in the UKG/Kronos system.
Maintain databases and prepares Excel reports/spreadsheets for both internal and external reporting and regulatory requirements
Handle mail distribution; Submit invoices for approval;
Prepare variety of reports, letters, memorandums, correspondence, meeting minutes, and presentations from a variety of sources;
Arrange programs, events, or conferences by arranging for facilities, caterer, issuing information or invitations, coordinating speakers, and arranging travel plans
Coordinate preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings; Act as custodian of corporate documents and records
Participate in a variety of project team activities and responsibilities; assist in various clerical administrative projects; Complete routine copying, faxing, and maintenance of administrative files, policies and records.
Coordinate archiving and retrieval of files in accordance with established records and retention processes
Order and organize office supplies and forms; create and maintain database and spreadsheet files
Track clinical certifications and licenses and other duties as assigned.
QUALIFICATIONS;
*High School Diploma or GED required; Associate’s degree preferred
*3-5 years of administrative experience; medical administrative assistance preferred
*High level of proficiency in use of PCs and maintenance of various technical databases required
*Proficiency in Outlook and Microsoft Office Suite, including PowerPoint and Excel, required
*Ability to compose meeting minutes required
*Working knowledge of medical terminology preferred
HOURS:
Monday - Friday Four 4 hour shifts
