Job Overview
The Executive Coordinator is a pivotal role that supports the CEO by managing both executive and personal operations. This individual serves as a trusted partner, ensuring seamless day-to-day functioning of the CEO’s professional, personal, and household responsibilities. This role requires exceptional organizational skills, discretion, adaptability, and the ability to manage a wide variety of tasks with efficiency and professionalism.
As the Executive Coordinator, you will oversee schedules, communications, household management, special projects, and serve as a key liaison between the CEO, internal teams, and external stakeholders. Your proactive approach and resourcefulness will play a critical role in enabling the CEO to focus on strategic priorities.
Key Responsibilities
Executive Operations
- Act as the primary point of contact for the CEO, managing communications, prioritizing emails, calls, and meeting requests.
- Oversee and maintain the CEO’s professional calendar, including scheduling, rescheduling, and prioritizing appointments.
- Prepare for meetings by gathering relevant materials, drafting agendas, and ensuring follow-up actions are tracked.
- Coordinate complex travel arrangements, including professional and personal itineraries, accommodations, and transportation.
- Manage special projects and initiatives, ensuring timely and high-quality delivery.
- Handle sensitive information with discretion and professionalism.
Personal Operations
- Manage the CEO’s household operations, including scheduling maintenance, coordinating with staff, and overseeing vendors or service providers.
- Organize personal appointments, errands, and reservations to ensure a smooth personal schedule.
- Assist with event planning, including personal celebrations, family gatherings, and social engagements.
- Ensure the CEO’s personal life and professional obligations are seamlessly integrated and aligned.
Organizational Leadership
- Collaborate with internal teams to ensure operational efficiency and resolve any cross-departmental challenges.
- Serve as the CEO’s liaison to internal and external stakeholders, fostering strong relationships and clear communication.
- Create and maintain organizational systems for both personal and professional files, projects, and information.
- Monitor and manage budgets for household and personal expenses, tracking and reporting expenditures as needed.
Lifestyle & Digital Presence
- Manage the CEO’s social media presence, including content creation, scheduling posts, and engaging with followers.
- Provide recommendations on enhancing the CEO’s personal and professional digital strategy.
- Research trends, tools, and best practices to optimize the CEO’s lifestyle and operational efficiency.

Qualifications & Requirements
Required Skills & Experience
- 5+ years of experience in a Lifestyle Coordinator, Household Manager, Executive Assistant, or similar role.
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Exceptional organizational, multitasking, and time-management skills.
- High level of discretion and confidentiality when handling sensitive information.
- Tech-savvy, with proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- Strong written and verbal communication skills, with the ability to interact with diverse stakeholders.
- Proven ability to manage personal and professional tasks simultaneously with a calm and proactive approach.
Preferred Qualifications
- Experience managing household operations, personal staff, or family offices.
- Familiarity with customer service or ticketing systems.
- Expertise in managing social media accounts or digital engagement strategies.
- Background in event planning or hospitality management.
