About the role

The PACE team within the CMH Health practice of Milliman Inc. is seeking an Administrative Assistant who will contribute to team goals by working collaboratively with consultants through a variety of administrative tasks. This position will assist with office administrative duties in support of a team of professionals under the direction of the PACE Office Manager. The position is ideal for someone who enjoys structured processes, is detail-oriented, and excels in a fast paced, deadline driven environment. Candidates must be able to work onsite in the Milliman office located in Brookfield, Wisconsin.

Milliman provides a variety of consulting services to Program of All-Inclusive Care for the Elderly (PACE) organizations. PACE organizations are state- and federally funded programs that serve the frail and elderly population, preferably in a non-institutionalized (i.e., nursing home) setting.  Individuals 55 years and older who are nursing home eligible, as defined by each state, are eligible to enroll in PACE.  A PACE organization provides 100% of the healthcare needs for each patient that they serve.  The federal government requires each PACE organization to report, through a formal bid process, the expected cost to provide outpatient prescription drug coverage to participants. The drug coverage is associated with Medicare Part D.  PACE organizations contract with Milliman to complete the formal bid process which is performed annually by the first Monday in June.

 The Team 

The CMH Health PACE Admin team is comprised of two administrative professionals who support approximately 25 professionals. This position will handle administrative duties in support of a team of professionals dedicated to working with PACE organizations.  While this is a full-time position, due to seasonal demands, a heavier weekly workload will be required January through early June with a lighter weekly workload the remainder of the year. Shared work experience, knowledge, and great communication in this team is key to our success. We learn and grow from each other.

Job Responsibilities

This role will be responsible for assisting with administrative functions including, but not limited to:

  • Create and update documents in Microsoft Word, presentations in Microsoft PowerPoint, exhibits in Microsoft Excel, and surveys in Survey Monkey. These include but are not limited to reports, letters of engagement, presentations, and other documents.
    • Format/finish client reports according to established standards
    • Perform mail merges using Microsoft Word and Excel
    • Spreadsheet maintenance
    • PDF and combine documents to create a finished product
  • Support maintenance of required electronic files in accordance with firm’s document retention and risk management policies:
    • Organize and maintain internal files
    • Organize, log, and file incoming client data and files (including confidential data)
    • Monitor, maintain and coordinate a centralized mailbox in Outlook
    • Organize, flag and follow-up on incoming client email messages
    • Organize and maintain a contacts database
    • Maintain centralized office calendar
    • Schedule meetings
    • Assist the PACE Office Manager in facilitating webinars
  • Enter / create legal contracts via Milliman’s Enterprise Legal Management (ELM) which supports the creation, negotiation, and execution of legal contracts for the PACE team.
  • Provide other support, as needed, such as scheduling meetings, organizing emails and correspondence, and organizing client holiday cards.
  • Research, create, and maintain internal planning reports and client project support.
  • Arrange and coordinate meetings and events (including space, equipment, and food); research, assemble and coordinate meeting materials (e.g., charts, graphs, reports, etc.), including Microsoft Teams and Zoom meetings.
  • Assist with special projects and perform other administrative and any other ad hoc duties as assigned.
  • Assist the PACE Office Manager with client communications.
  • Handle confidential and proprietary materials.
  • Assist the PACE Office Manager with the following client billing functions:
    • Maintain and process monthly billing runs for PACE organizations
    • Maintain a log of client payments
