Job Summary:

The Enrollment Services Assistant provides administrative and student support services specifically for Adult Education and English as a Second Language (ESL) students, focusing on the enrollment and testing process. This role involves direct interaction with a diverse student population, many of whom are non-native English speakers and may require additional patience, clarity, and cultural sensitivity during service.

The Assistant supports students in alignment with institutional and ICCB policies, working both independently and alongside full-time Enrollment Services Specialists. They must be comfortable navigating language barriers and using accessible communication strategies to support student success.

Strong communication skills, cultural awareness, attention to detail, and proficiency in student service systems are essential for this role. The position provides support across all campuses and extension sites, ensuring students receive consistent and accurate service throughout their enrollment experience.

Job Description:

Essential Duties and Responsibilities:

  • Provide accurate information to Adult Education and ESL students regarding institutional policies, Illinois Community College Board (ICCB) guidelines, procedures, and deadlines.

  • Communicate effectively with a diverse student population, including individuals with limited English proficiency.

  • Verify and collect required documentation to ensure student enrollment and program compliance.

  • Refer students to appropriate campus and community resources, with sensitivity to language and cultural barriers.

  • Administer and proctor state-approved standardized tests (e.g., CASAS) in compliance with ICCB protocols and testing procedures.

  • Conduct intake and registration during student placement events; schedule test sessions in STARS as needed.

  • Assign appropriate tests and levels based on program eligibility and placement criteria.

  • Enroll students into correct courses based on test results and Adult Education program requirements.

  • Maintain and organize student files, testing materials, and intake documentation.

  • Assist students via phone, email, and in person with questions related to enrollment, testing, and support services.

  • Participate in community-based recruitment and testing events, including off-site locations.

  • Enter and update student data in DAISI, PeopleSoft, and TOPSpro Enterprise (TE), including intake, test scores, and enrollment information.

Other Responsibilities:

  • Travel to various sites within Lake County to support Adult Education and ESL outreach, recruitment, testing, and enrollment efforts.

  • Perform other duties as assigned.

Required Qualifications:

  • High School Diploma or equivalent and a minimum of two (2) years of work-related experience

  • Commitment to providing excellent customer service

  • Experience with diverse populations

  • Proficient computer skills (typing, emailing, conducting web searches)

  • Ability to multitask between various computer programs and assisting students

  • Attention to detail and problem-solving skills

  • Flexibility and adaptability
