Job Description
The University of Nevada, Las Vegas invites applications for Administrative Assistant 3, School of Nursing [R0142854].
ROLE of the POSITION
The major purpose of this position is to support the UNLV's School of Nursing professional staff by continuing with a high standard of excellence by communicating, assisting and providing information the faculty, the UNLV community, and all stakeholders. Although all of our programs run three semesters a year and have around 500 students each semester, this position will support the admin staff year-round. This position is responsible for assisting professional staff by answering phones, special projects, events, written and verbal communication. This position may also occasionally support the admin staff team in the main office. This position is responsible for supporting graduation and recognition ceremonies. The person in this position completes a wide range of secretarial and clerical duties on a daily basis; responsibilities also include setup and maintaining files for the Assistant Director of Communications, the Continuing Education Coordinator, the Director of Accreditation, the Director of Development, the Assistant Dean and the Director of Business Affairs.
Duties include but not limited to:
Primary Office Functions
Prepare purchase requisitions, payment vouchers, shipping documents, and other standard forms used at UNLV as needed. Assist admin staff through clerical support functions such as word processing, spreadsheet management, mailings and routine correspondence. Assist by maintaining files and updating as needed. Knowledge of and ability to complete orders for service within the Workday system. Occasionally, respond to email delivered on the main nursing email account. Filing typing, faxing, etc. as needed. Managing and assisting with staff travel as needed.
Student Support
All correspondence related to undergraduate and graduate student enrollment and immunization certification requirements. Maintaining files to provide readily available information related to student progress and administrative requirements. Alert SON Student Services Director and Program Directors about student issues as needed. Monitor Student progress via grades. Review student records for accurate information. Grant enrollment permission to students as needed. Present accurate information to ongoing and prospective students regarding admission procedures, University, and School requirements. In depth knowledge of the undergraduate and graduate program requirements. Courteous responses to all inquiries.
MINIMUM QUALIFICATIONS
Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

SALARY
