Job Title: Executive Assistant
Full Time: Monday-Friday 8:00am-4:30pm

GENERAL SUMMARY:
As the assistant to the Executive Director, the Executive Assistant must demonstrate servant leadership skills as evidenced by his/her willingness to initiate and take appropriate action to trouble shoot resident and team member needs. Responsible for acting on Executive Director’s behalf, handling communication, scheduling, coordinating events and special projects. Tasks include publishing a weekly newsletter, ordering office supplies, performing general clerical duties, and covering the Reception Desk while the Receptionists are on break or at lunch.
PRINCIPLE DUTIES:
Administrative
- Assists the Executive Director with various administrative needs and special projects as needed. Coordinates resident and/or resident family meetings, resident committee meetings and staff member meetings with the Executive Director.
- Publishes a weekly newsletter from management to the Resident population.
- Attends the weekly Staff Meeting, monthly Floor Representative meeting, and monthly Town Hall, taking meeting minutes.
- Maintains and orders the office supplies, including postage.
- Covers the Reception Desk while the Receptionists are on break, at lunch, or out sick.
- Coordinates the review and publication of the annual Resident Handbook.
- Coordinates facility rounds to maintain environmental standards in cooperation with Environmental Services & Plant Operation
- Coordinates various surveys to include Buddy Program, Move-In Surveys, Resident Satisfaction, etc.
- Provides as needed support to other directors/managers as needed
- Other duties as assigned by director.
Public Relation
- Assists residents, residents’ families, and staff members with questions relating to the Administration Office and community policies and procedures.
- Point of contact for vendors who work with the copy machines, postage machines, printing company, etc.
- Demonstrates professionalism with residents, family members, visitors, vendors and team members at all times.
- Effectively listens to concerns and responds timely with empathy.
- Attends Community functions and assists as needed.
Supervisory
- Responsible for interviewing, training, scheduling and performance management of front desk/receptionist staff.
