The Role

Are you a natural communicator and trusted organizer who thrives in a fast-paced environment supporting leadership and governance? We’re looking for a Committee Support Specialist to join our collaborative and mission-driven team. In this role, you'll be a vital link between the Board of Trustees, club committees, and staff ensuring communication flows seamlessly, critical decisions are informed by real-time data, and governance operations align with the club’s strategic goals. This position is ideal for someone who brings poise, discretion, and relationship-building skills to every interaction.

This is a full-time, fully on-site role at our club in Portland, OR.

What You’ll Do

• Serve as Primary Liaison: Support the House Committee and its Chair with administrative and governance tasks, including executing committee business and sanction processes.
• Support Board Leadership: Provide executive-level administrative assistance to the Board President and Board of Trustees in collaboration with the Executive Office.
• Protect Confidentiality: Discreetly manage sensitive information and ensure secure handling of confidential matters.
• Guide Governance Processes: Assist staff and members with interpreting and applying Bylaws, rules, policies, and procedures.
• Drive Meeting Success: Prepare agendas, compile materials, attend meetings (including early mornings/evenings), and document minutes as needed.
• Enable Data-Driven Decisions: Collect and present organizational data and analytics to aid informed governance decisions.
• Facilitate Leadership Transitions: Coordinate onboarding and offboarding for committee chairs and trustees, including orientation and training.
• Maintain Digital Records: Manage and organize documents in the club’s shared electronic platforms; maintain accurate distribution lists.
• Plan Signature Events: Contribute to organizing the Annual Meeting and Board-related events.
• Provide Cross-Functional Support: Step in to support the Executive Office and create helpful resources when needed.
• Other duties as assigned.

What You’ll Bring

• Relevant Experience: Bachelor’s degree or equivalent experience, with at least 5 years in administrative support, committee coordination, or client-facing roles, background in customer service or hospitality is a plus, with a strong commitment to supporting others.
• Strong Organizational Skills: Ability to prioritize, multitask, and manage competing responsibilities with efficiency and accuracy.
• Professional Demeanor: Friendly, approachable, and diplomatic, with a commitment to fostering positive relationships across all levels.
• Confident Communication Skills: Comfortable handling sensitive conversations and aligning stakeholders through clear, proactive communication, collaborative spirit with the ability to work independently and as part of a mission-driven team, and a high standard for confidentiality and professional judgment in handling private information.
• Critical Thinking: Proactive mindset with a knack for problem-solving, process improvement, and thoughtful decision-making.
• Technical Proficiency: Skilled in Microsoft Word, Excel, Outlook, PowerPoint, and digital file management systems.
• Schedule Flexibility: Willingness to work flexible hours, including evenings, weekends, and occasional holidays as needed.
